Job Description
- Maintains legal client files (both paper & electronic file system), updates binders, organizes and file documents in designated folder and file drawers, as well as prepares, enters, proofreads and processes legal and administrative correspondence
- Requests firm record labels
- Assists with coordination of incoming and outgoing file transfers; including sending and retrieving files to/from off-site storage
- Maintains/updates Orlando eRooms
- Reviews, prints, and files emails for attorneys
- Manages a busy phone line for supported attorneys, conveys messages as necessary; answers routine questions from clients and staff members and/or route calls to appropriate staff members
- Performs overflow typing, filing, scanning and photocopying as requested by attorneys; drafts and transcribes routine correspondences and voluminous documents
- Processes time entry for multiple attorneys, maintains and creates calendar entries, collates information, writes reports, and prepares agendas
- Serves as a back up to other Legal Support Specialists
- Assists with other department activities as needed, and performs additional duties and responsibilities as assigned
- Provide outstanding client service, meet high quality standards for services, and meet or exceed client expectations

- Recognize confidential, sensitive, and proprietary information and maintain confidentiality in a professional and trustworthy matter
- Minimum of five years of experience as a legal secretary, working in a business law practice
- Understanding and basic knowledge of practice, clientele and related resources and professionals for the Public Finance Department
- Proficiency with Windows-based software and Microsoft Office Suite, including Word, Excel, and Adobe/ScanSoft
- Ability to effectively use firm communication technology and use of organizational abilities in Outlook
- Exceptional computer skills with the ability to learn new software applications quickly
