Job Summary:

Meneses Law is looking for an Intake Specialist to join our dynamic team. The Intake Specialist is responsible for all aspects of the intake process. The Intake Specialists will welcome the prospective Spanish speaking clients and is responsible for listening and gathering important information about their clients by asking questions in the form of a questionnaire based on case type to determine which of our services best fit each of their specific situations. The ideal candidate must be bilingual and has self-determination over their day. May perform other duties as necessary

Essential Functions/Responsibilities:

Interview clients in Spanish and transcribe in English for cases.

Fill out questionnaire forms based on case type.

Collect documents from clients for their case.

Fill out the questionnaire based on case type.

Must be able to communicate effectively with clients.

Upload questionnaires on to the client’s e-file.

Help clients understand what information is needed.

Ability to observe, receive, enter, transcribe, record, store and maintain information in written and electronic form.

Perform general office duties, such as filling, answering telephones, making copies, and handling other general office duties.

Meet with department managers to discuss assigned cases or projects.

Utilizes document and data management systems to prepare, monitor, and record all aspects of client casework.

Must be able to work independently and with minimal supervision.

Performs other related duties.

Required Skills/Abilities:

Excellent verbal and written communication skills in English and Spanish.

Excellent organizational skills, time management skills, and attention to detail.

Proficient with technology and ability to learn our software systems.

Ability to prioritize tasks.

Ability to act with integrity, professionalism, and confidentiality.

Proficient with Microsoft Office Suite and MacOS systems.

Self-motivated with excellent interpersonal skills.

Good understanding of clerical operations.

English usage, spelling, grammar, and punctuation.

Ability to work in a fast-paced environment.

Able to type 45 WPM or more.

Must be fluent in English and Spanish

Education and Experience:

Bachelor’s degree.

Preferred but not required, 6 months or more of related experience working in an office environment.

Compensation:

Meneses Law believes in Work Life Balance.  Operation hours are from 8 a.m. to 5 p.m. plus 2 Saturdays a month for certain positions.

Qualifications/Requirements:

Education/ Experience:

A Bachelor’s degree, knowledge of MS Office and MacOS.

Communication Skills:

Ability of reading comprehension, writing, speaking to others to convey information effectively, active listening and interpreting instructional documents. English/ Spanish bilingual oral communication is a must.

Reasoning Skills:

Must be able to analyze information, problems, situations, practices, or procedures to define the problem or objective. Identify relevant concerns or factors, patterns, tendencies, and relationships. Formulate logical and objective conclusions and recognize alternative and their implications.

Physical Demands:

This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking. May occasionally involve stooping, kneeling, or crouching. May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods of time. Involves manual dexterity for using keyboard, mouse, and other office equipment. May involve moving or lifting items under 10 pounds.

Other skills:

Strong knowledge of business and management principles involved in strategic planning, leadership technique, production methods, and coordination of people and resources. Excellent organizational and time-management.

Work Hours:

Monday to Friday from 8:00 am to 5:00 pm + 2 Saturdays, per month. Must have the ability to work a flexible schedule based on department and company need.
