The Legal Administrative Assistant performs a wide variety of Legal Administrative and executive assisting duties to support General Counsel, Compliance and Human Resource executives at Majestic Care’s Home Office. Support includes, but is not limited to greeting building visitors, receiving deliveries and mail, complex document editing, preparing and editing correspondence of legal documents, managing all aspects of executive calendars including scheduling meetings and resolving conflicts, managing verbal and written communications on behalf of executives, travel and conference arrangements, meeting minutes, detailed PowerPoint presentations, Excel spreadsheets and departmental reports as assigned. This role organizes and develops information and materials necessary for meetings, completes special projects, presentations, and event planning. Independent judgment is required to plan, prioritize, and organize diversified workloads and recommend changes in office practices or procedures. This role will also assist with the responsibility of supply ordering and stocking.
Our Legal Administrative Assistant will:
· Prepare and draft legal and compliance documents for filing with appropriate entities (including governmental agencies) and necessary correspondence.
· Conducts legal research for particular issues as assigned by using periodicals, law publications, public records, and offices.
· Maintain detailed internal dockets of cases in various stages of litigation.
· Maintain annual reporting with states, compiling and filing applications for our various divisions, and upholding all reporting requirements to maintain compliance with our various licenses and businesses.
· Creates and organizes files and pleading panels.
· Organizes and prioritizes large volumes of information in both electronic and manual filing systems.
· Proofread contracts and other sensitive documents for spelling, grammar, layout, and content, suggesting appropriate changes. Responsible for accuracy and clarity of final copy.
· Handle confidential and non-routine information.
· Supports the administrative supportive for the Compliance Committee and other compliance led committees or workgroups, including agenda, minutes, packet development and scheduling meetings.
· Assists the Compliance Officer with organization’s Helpline administrative support.
· Supports the Compliance Officer with risk assessments and work plans.
· Presents a professional, welcoming first contact to all clients, vendors, staff, etc. – by phone, in person, and email.
· Keeps office equipment maintained.
· Responsible for organizational functions and general meeting support including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying and faxing.
· Responsible for ordering and managing supplies/tools and maintenance of storage areas.
· Identifies and implements systems to streamline and gain efficiencies in work processes.
· Organizes and coordinates projects, conferences, and other events.
· Responsible for meeting minutes & follow-up on action items
· Works on special projects as needed.
· Performs other duties as assigned.
The ideal candidate will have:
· High school diploma or equivalent
· Associate degree in business, Management or related field
· At least 3 years’ law firm experience and experience providing administrative support to senior leadership in a fast-paced environment.
· Experience working in the healthcare, human resources, or legal industry preferred.
