Leaves & Accommodations Assistant
  • Direct Hire
  • Salary range $65k - $70k/Year

Essential Job Tasks
  • Leave Management and Accommodations Assistance provides support in administering leaves of absence and accommodations, adhering to federal and state regulatory requirements with consistency.
  • Aid in processing leave requests efficiently utilizing the leave module within the UKG Dimensions time & attendance system, reviewing leave documentation, and assisting in determining approvals and denials.
  • Support the management of accommodation requests, assisting in the interactive process to assess for reasonable disability accommodations.
  • Help maintain accurate status updates in the leave and HR systems.
  • Assist in maintaining confidential electronic files for employees on leave, and filing paper files when employees terminate.
  • Monitor the duration and frequency of leaves and provide information about the potential need for follow-up to the Manager, Leaves of Absence, and accommodations.
  • Assist in collaboration with Legal, Labor Relations, Risk Management, and other client departments on attendance, leave, and accommodation-related issues, filling in for the Manager, Leaves of Absence, and accommodations when needed.
  • Assist in communications with the Department of Family & Medical Leave regarding employee PFML-related concerns.
  • Provide backup coverage to the Manager, Leaves of Absence, and accommodations as needed.
  • Time & Attendance and Leave System Support Serve as a point of contact for department managers regarding leave-related time & attendance questions.
  • Process continuous and reduced leave employee payroll coding each week.
  • Assist with recording time entries in the time & attendance system with appropriate leave coding as needed.
  • Assist in reviewing employee timecards with leave each holiday week to ensure holiday pay is being coded in line with client policy.
  • Collect, review, and file medical notes related to attendance policies, indicating within the time & attendance system absences that correspond to a medical note.
  • Monitor and review time & attendance and leave system notifications and reports regarding due dates and leave usage, notifying the Manager, Leaves of Absence, and accommodations for follow-up.
  • Inquiries and Support Assist Manager, Leaves of Absence and accommodations in responding to employee inquiries on leave and accommodation-related matters for both union and administrative employees.
  • Create and provide reports to managers and H.R.'s benefits area as needed.
  • Assist in completing short-term and long-term disability application information as required by the employer.
  • Send correspondence to inform employees of case status, policies, procedures, and medical documentation requirements.
  • Advise management on regulatory requirements and best practices related to leaves and accommodations, responding to questions and concerns as needed.
  • Communicate employee requests for leave, changes in leave status, and upcoming returns to work.
  • Maintain strict confidentiality regarding employee information.

Secondary Job Tasks
  • Other tasks as assigned by the Manager, Leaves of Absence, and accommodations;
  • Deputy Director, Human Resources; or Chief Human Resources Officer.

Education
  • Bachelor's Degree is required.

Experience
  • Leaves of absence and disability accommodations experience are required.
  • Human Resources experience is preferred.

Unique Expertise/Certifications/Registrations
  • Proficiency in FMLA, MA PFML, ADA regulations, and related case management is required.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook is required.
  • Experience using leave-management database applications, and other computer systems.
  • Proven ability to work effectively on a team.
  • Excellent organizational and communication skills (verbal and written).
  • Ability to maintain confidentially in all assignments.
  • Ability to pass a client-controlled substances test and security background check.

Work Schedule
  • Ability to work a 37.5-hour workweek in a hybrid capacity.
