Job description

 

The 1,054-room Omni Boston Hotel at the Seaport is the newest luxury hotel in the City of Boston, and the most significant hotel project in the city for the last forty years. The property features seven outlets for drinking and dining, a signature spa, fitness center, and rooftop pool. It boasts more than 100,000 square feet of meeting and event space, and caters to the most discerning clientele.


To ensure payroll is completed in a timely manner in accordance with Omni Hotels Standards and in compliance with all State and Federal Wage and Hourly Regulations with the highest level of confidentiality.


• Fully responsible for all functions of the Kronos payroll process.

• Enters and balances any manual earning and deductions, i.e. service charges, tips, meal deductions, bonuses and incentives, retroactive pay, etc.

• Monitors all vacation, sick days, personal days, holiday pay, jury pay and bereavement pay adjustments.

• Prints all payroll reports daily/weekly i.e. Overtime report, Missed Punch report, Adesstation Report and distributes appropriately to department heads and/or EC members.

• Balances each pay cycle completely, including balancing Kronos hours.

• Assists the ASC as necessary in training associates in the proper use of time clock.

• Researches and resolves discrepancies related to payroll.

• Maintains neat and organized confidential files related to Payroll.

• Verify each garnishment for accuracy every payroll.

• Run monthly reports as required for month-end and tip reporting purposes.

• Perform any other payroll-related functions as directed by the Director of Finance or Controller.

• Be available to assist the corporate audit team and provide any/all requested payroll-related information.

• Process and balance Union Dues, Health & Welfare, Pension, and all union fund accounts.

• Assist with month-end close and assist in producing accurate financial statements.

• Assist in preparation of Balance Sheet analysis.

• Complies with all hotel policies and procedures and assists others with understanding and compliance with established standards.

• Assist with guest calls, both internal and external.

• Perform Cashiering functions related to automated cash machine.

• Process daily deposits to bank.

• Process daily over/shorts.

 

Hotel Specific Essential Functions:
• Knowledge of PMS, POS, Purchasing and back-office accounting systems
• Extensive use of Excel with minimum of moderate level skills
• Position requires extensive knowledge of Microsoft Office Suite including Word, Access, and Outlook
• Use of cash recycler machine as part of cash duties

Tools and Equipment:

• Computer and printer, telephone, pen/pencil, photocopier, file folders, filing cabinet, and facsimile machine
• Cash recycler machine.

• Use of Kronos time clock.

Working Environment:
• This position operates in an office environment. The nature of the job at times requires the working of nights, weekends, and holidays.
• While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel; and talk or hear.

• The employee frequently is required to walk.

• The employee is occasionally required to stand; reach with hands and arms; and stoop, kneel, crouch, or crawl.

• The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.

• Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

• Interior of hotel with exposure to all areas including coolers, freezers, kitchens, and general office areas.


QUALIFICATIONS:

• Previous experience in hospitality finance environment preferred.
• Excellent oral and written skills.
• Accounting preferred.
• Ability to communicate effectively, exceptional organizational skills, an ability to work well under pressure to meet deadlines.
• Must be flexible and able to work some weekends.
