Job description

The candidate chosen will fill the responsibilities of an existing employee.

POSITION SUMMARY:

The Lease Administrator is responsible for supporting the day-to-day tasks and initiatives of the Asset Management department regarding the Lease Administration function, working to manage a large portfolio of commercial properties in addition to working on prospective deals in the company's pipeline. This position has no direct reports.

ACCOUNTABILITIES:

  • Lease abstract review and quality assurance.
  • Tenant sales reporting data
  • Tenant Certificate of Insurance (COI) compliance
  • Accurate entry of all abstracted information into ERP system (MRI) for new acquisitions including rent, CAM, tenant use, tenant sales, and any material lease clauses

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversee lease database management for an assigned portfolio of properties
  • Manage the lease execution process, drafting tenant welcome packages, maintenance and collection of COI's, drafting commencement certificates, entering the tenants lease information into our accounting software (MRI), managing the rent roll, as well as coordinating any other one-off requests
  • In a timely manner, complete and implement abstracts for every lease, amendment, letter agreement, and other lease administration tasks for existing and new assets
  • Collect tenant sales information, prepare default notices as requested by legal, coordinating any general lease correspondence, assisting with CAM reconciliations and other recurring billings as requested
  • Generate leasing & compliance reports from internal leasing teams and prepare a monthly portfolio report to track: Lease expirations within an time period, COI compliance, sales reporting, as well as other ad-hoc summaries
  • Evaluate leases for prospective value-add opportunities in potential acquisitions as well as existing properties
  • Assists in the preparation and/or review of potential dispositions of existing properties and the acquisition of prospective properties
  • Additional ad-hoc projects as necessary based on industry demands
  • Perform other duties as assigned

KNOWLEDGE, SKILLS AND REQUIREMENTS:

  • Bachelor's degree in business or related field; proven industry experience acceptable in lieu of a degree
  • 2-5 years prior experience as a commercial lease administrator
  • Prior experience related to the retail asset class preferred
  • Prior experience drafting leases and performing lease abstracts
  • Prior experience with Microsoft, MRI, or other related real estate accounting and project management software strongly preferred
  • Excellent oral and written skills are required
  • Prior paralegal experience is a plus
  • Great problem-solving skills
  • Ability to work as an individual and collaborate with a team
  • Knowledge of Commercial Real Estate Lease Structures (Retail Preferred)
  • Ability to multitask and prioritize high level tasks

WORK ENVIRONMENT:

Includes a typical office or home-based office environment, with minimal exposure to excessive noise or adverse environmental issues.

PHYSICAL REQUIREMENTS:

Ability to sit for prolonged periods of time.
