This individual is responsible for overseeing as well as performing scheduling of all patient appointments.
Responsibilities include (and may vary):
- Responsible for supervising daily operation of Scheduling Center
- Responsible for the staffing and management of Scheduling Center personnel
- Monitor call volume and wait time for the department
- Answer all phone calls in a pleasant and professional manner
- Ability to effectively triage calls from patients to ensure appropriate scheduling
- Listen and ask questions to accurately determine the patient's objective for the call
- Take messages from patients and transfer calls, as needed
- Add detailed messages into EMR messaging templates and forward appropriately for follow up
- Accurately add patient/appointment information to NextGen computer system
- Reschedule clinic, cancellation, and "no show" appointments for assigned providers
- Recall - phone calls to patients who are overdue for an appointment
- Monitor email messages
- Schedule appointments from Patient Portal or Online Requests
- Maintain and update information in individual training/procedures manual provided
- Other duties as assigned
Hours: 8:00a - 5:00p M-F, with one weekly evening shift 10:00a - 7:00p. This position is also part of the rotating schedule of Saturdays, which is typically once per month 8:00a - 12:00p remote hybrid option after 1 year of employment
Requirements
- High School diploma or equivalent
- Previous scheduling experience or training
- Previous insurance experience or training
- Strong communication and organizational skills
- Good rapport with patients, doctors and staff
- Good listening skills
- Experience with coaching, training and motivating employees
- Excellent problem-solving skills
- Outstanding customer service skills
- Ability to remain calm and respectful under pressure
- Knowledge of relevant computer programs and telephone equipment
- Maintain patient confidentiality at all times
- Adhere to HIPAA regulations
- High degree of reliability, dependability, and accuracy
