JOB SUMMARY

The Lead Project Coordinator is the Project Management business process subject matter expert and leads continuous improvement in the project related administrative activities. The Lead Project Coordinator will also provide key support to the Project Management, Project Coordinator and Engineering teams in various project related functions relating to documentation, drawings, submittals, schedules, budgets, punch lists, contract administration, and varied data entry.

 

As a part of the Design Build Leadership Team, the Lead Project Coordinator will provide feedback and suggestions to improve project documentation standards, business workflows, and other topics to promote world class execution. This position reports to the Director of Project Management.

 

DURING A TYPICAL DAY

  • Oversee and provide instruction to the Project Coordinator team and their day-to-day functions.
  • Instruct, train, and advise staff and new team members of POET Bioprocessing's document management standards and business workflows as needed.
  • Investigate and promote innovation in documentation management including software and business
  • Direct and process necessary project submittals, internal change management documents, contract and bid documents, invoices, and project related Make formal recommendations to the Director of Project Management to improve business processes as applicable.
  • Balance multiple objectives for different projects or business entities to achieve project goals and manage stakeholder
  • Alert Project Managers, Engineers, and Project Coordinators of critical information and retain copies of any documentation and correspondence requiring follow-up.
  • Office subject matter expert regarding document management systems, legacy documents, copies of communication,
  • Be the office point of contact for subcontractors involved in assigned projects if the Project Manager is
  • Assist in answering questions or obtaining needed information/drawings/submittals.
  • Set up and curate a current office set of electronic project documents including plans, specifications, addenda, field modifications, meeting minutes, and Change Proposal Requests. Converting these files into electronic format may be required.
  • Organize and log submittals, transmittals, and Change Proposal Requests, Internal Change Requests, Engineering Work Requests, and receive documents into document management systems.
  • Assist the Project Management team in the construction permitting processes where directed. Including compiling and organizing of documentation, submittals and payment that is forwarded to the state, county, and local entities as directed.
  • Obtain and distribute complete sets of project documentation to the Owner, subcontractors, vendors, and POET construction sites as directed and authorized.
  • Effectively manage the team by recruiting, selecting, orienting and training team members. Leadership responsibilities also include delegating, coaching, managing performance and career development to effectively execute departmental strategies and support company objectives.

STRENGTHS OF A SUCCESSFUL CANDIDATE

  • High school diploma or equivalent. Associates Degree or above in a related field such as Business with an emphasis on Construction or Project Management preferred.
  • Minimum 5 to 7 years in an administrative role including but not limited to; managing schedules, budgets, documents, and other project related information. 3 or more years of managing people strongly preferred.
  • Very strong organizational skills with the ability to coordinate multiple tasks for a large professional team.
  • Highly professional and Must communicate precisely and accurately to internal team members, contractors, vendors, external clients, etc.
  • Excellent organizational, time management, and communication skills as well as the ability to adapt to change.
  • You understand the basics of Microsoft Office Suite (Word, Excel, Outlook, MS Project Professional, and Adobe Acrobat). A background in document management systems preferred. You're capable of learning new programs.

WORK ENVIRONMENT
