Duties

Major duties include, but are not limited to:

  • Trains new hires.
  • Monitors AMSA(s) during calls (for training purposes).
  • Monitors and schedules patients for treatment.
  • Reviews work of full performance and developmental AMSA(s) for accuracy and completeness.
  • Identifies backlog in workload and potential procedural problems by observation and monitoring activities of the AMSA(s).
  • Assists AMSA(s) with difficult problems by providing accurate instructions and workable solutions.
  • Obtains medical information from patients, documents information accurately in the appropriate system, communicates accurately and timely to the appropriate clinician, pharmacy representative, or team as needed.
  • Work also includes recording schedules and reconciling workload

Work Schedule: M-F, 7:30am-4:00pm, 8:00am-4:30pm
Telework: Telework may be available, at the discretion of Management, after completion of in person training and 90 days of demonstrated competence

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
EDUCATION/EXPERIENCE: Must possess six (6) months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant.
OR
Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED)
OR
Equivalent combinations of experience and education are qualifying for entry level. (TRANSCRIPTS REQUIRED)
IN ADDITION TO MEETING THE BASIC REQUIREMENTS LISTED ABOVE, YOU MUST MEET THE GRADE REQUIREMENTS AT THE GS-7 LEVEL TO QUALIFY FOR THIS POSITION.
GS-07 - The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings.
Experience: One year of experience equivalent to the GS-6 grade level. Experience at this grade level consists of: Providing specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Recommending changes to existing clinic procedures based on current administrative guidelines. Utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinating with the patient care team to review clinic appointment availability and utilization to ensure that clinic schedules are closely monitored to effectively support the needs of clinics and making adjustments as necessary. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources.

Demonstrated Knowledge, Skills, and Abilities:
  • Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
  • Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
  • Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
  • Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff.
  • Ability to provide staff development and training.
  • Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
