Responsibilities

Provide quality Patient Appointing Services to all eligible beneficiaries served by the 6th Medical Group at MacDill AFB. The designated lead is responsible for training all new Appointment Clerks to correctly answer calls, make appointments and send messages to provider teams. The lead is responsible for Appointment Clerk specific training, which includes training on booking protocols, one on one training with the new employee or scheduling shadowing with more experienced Appointment Clerks. The lead is also responsible for training any non-contract employees that augment the Appointment Line team when contract employees fall below the required number of FTEs to provide service to 6th MDG customers.

  • Schedules appointments in a government computer system for primary care, specialty and subspecialty medical care. In addition to scheduling requested appointments, this position will call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, to include appointments for consult/referral specialty care within the MTF or at civilian facilities.
  • The Medical Appointment Clerk (MAC) shall answer calls that may result in booking an appointment or documented verification that an appointment is not available. The clerk will also be responsible for creating messages to the clinical teams and MTF or patient cancellations. The clerk will field calls that do not require appointments or messages and direct those calls to other MTF departments.  The clerk will review appointment reminder requests and cancel appointments as necessary.
  • The clerk is responsible for correcting appointment booking errors and shall ensure minimal appointment errors occur.
  • Schedules Medical Appointments and determines patient eligibility for services from phone calls, secured messaging or other methods used for appointment requests. Supports PCM by name processing for appointments and appropriate access to care timeframes during allocation of standard appointment types.
  • Maintains appointment schedules using a Government computer system (Composite Health Care Systems (CHCS), AHLTA or MHS GENESIS.
  • Validates eligibility through appropriate booking through Defense Eligibility Report System (DEERS). May be required to register patients not already in computer system, such as newborns.Maintains accurate and up-to-date patient schedules and logs.  Utilizes the Government computer system tools and standard protocols (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options or cancellation processing.
  • Validates basic patient demographic information prior to booking appointment for patients.  Makes required updates in MHS Genesis while the caller is on the line.
  • Call patients or respond to secure messaging requests as needed to schedule, reschedule, and/or cancel appointments.  Promotes consult/referral specialty medical care within the MTF or at civilian facilities.  Provides patient with specific visit instruction.
  • Pulls records and files documentation as needed.  Confirms medical records are available for upcoming appointments on provider schedules.
  • May assist in preparation of patient notices (telephonically or form letter formats) for appointment reminders, no shows, or reschedule/cancellations.
  • Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses by using the Government computer system, standard protocols and individual clinic guidelines as needed.
  • The lead clerk will attend the mandatory Access to Care Meeting and Safety Huddles to address Appointment Line-related issues.
  • Pull and prepare end-of-month reporting.
  • Provide technical training on Appointment Clerk processes for new employees to include other contractor Medical Appointment Clerks.
  • Assist with booking protocol update and inputs.
  • Obtain information for Appointment Line-related Patient Safety Reports and coordinate with the appropriate Government POC.
  • On the first duty day, the lead will:
    • Escort the new employee to 6 MDG Contract Officer Representative (COR), so COR can enter employee in Trusted Associate Support System.
  • Within 5 duty days, the designated lead (or contractor representative) will ensure the new employee completes the following:
    •  Ensure all computer-based trainings (CBTs) required for Local Area Network (LAN) training are completed.
    • Schedule the employee for LAN training with MDG Systems
    • - Ensure MHS Genesis trainers assign Genesis CBTs
    • - Schedule employee for MHS Genesis training

 

 

Qualifications
  • A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.
  • Clearly speak and understand the English language.
  • Use of standard office equipment, such as personal computers, copiers, fax machines, and telephone systems.
  • Possess general medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • High school diploma or General Educational Development (GED) equivalency.
  • At least 6 months of experience in medical office scheduling.
  • The work is mainly sedentary, but may require walking, bending, standing, and/or carrying of light items such as files, manuals, and medical records.
License - Certifications

Current certification in Basic Life Support (BLS).
