Job Description
We are currently seeking an enthusiastic and knowledgeable applicant to join our team at Coachlight Clinic & Spa as a full-time Lead Coordinator (Inside Sales) to help contribute to the success of our medical aesthetics clinic and spa located in West Des Moines Iowa.
As a Lead Coordinator, you will play a pivotal role in helping coordinate new guests through education and scheduling, driving sales for existing guests, and delivering exceptional customer service, while promoting our range of aesthetic treatments, spa services, and medical-grade skin care products. This role is in-office and will require a mixture of phone and computer work, using a multi-line phone system, patient EMR software, CRM lead tracking software, and rewards program websites. Your passion for aesthetics and your ability to connect with customers will be essential in creating memorable patient experiences. This position does not require cold calling but rather reaching guests who have already been to our clinic or have expressed an interest in our services.
Schedule:
This position requires 39 hours/week with an hour break each day: Mon-Thurs 8-5, Fri- 8-4
Key Responsibilities:
- Possess a thorough knowledge of all clinic and spa services, retail products, promotions and other company information and be able to accurately and efficiently educate guests in a sales manor
- Warmly receive incoming calls promptly and politely, practicing proper phone etiquette to answer guest’s inquiries and lead conversations towards scheduling
- Promptly and diligently follow-up on lead inquiries coming in via voicemail, website chat, CRM software, emails and other forms of communication
- Meet daily call goal of 75+ outbound calls while working from promotional lists to retain and reactivated established guests
- Track all patient conversions for accurate reporting and commissioning
- Support our internal and external marketing efforts by working promotional lists (provided by marketing) in a timely manner to effectively support specific campaigns and fill provider schedules
- Credential the business and providers – act as a liaison between the patient and the providers to facilitate a successful client relationship
- Collaborate with providers to follow-up with existing clients; assist with scheduling their next treatment from a package, or discuss any unpurchased quotes
- Connect with guests to build and maintain strong relationships
- Accurately book, change and cancel appointments; utilizing the cancellation list to fill last minute openings
- Follow-up on unscheduled/unpurchased quotes recommended by the providers
Additional Responsibilities:
- Attend staff meetings as requested by the Manager
- Maintain a presence of calm composure, even during stressful situations
- Alert Manager to potential problems or concerns
- Work diligently to support Coachlight Clinic & Spa’s mission and team core values
- Comply with all departmental and company policies including HIPAA and OSHA
- Maintain confidentiality of all Coachlight Clinic & Spa proprietary information
- Help resolve client complaints in a manner which promotes positive client relations
- Maintain accurate Coachlight Clinic & Spa information through daily use of email and other forms of communication
- Attend trainings and educational opportunities as required or as wanted to stay on top of industry changes and best practices
- Provide and verify all paperwork has been sent electronically when necessary
- Assist guests signing up for various rewards programs if needed
- Assist clients with retail purchases over the phone for instore pickup or shipping
- Have a basic knowledge of payment processes to effectively collect cancellation fees, treatment deposits, package prepayments and other essential functions
- Keep work areas clean and organized

Qualifications:
- High School Graduate Required and 2 year College Preferred
- At least 2 years’ experience required in an Inside Sales/similar capacity role involving direct communications with the public, preferably in a medical, retail or hospitality setting
- Willingness to learn and grow over time; including sales abilities, product and treatment knowledge and trends within the industry
- Exceptional communication skills including verbal and written communication in the form of phone calls, voicemails, emails, texts and other scheduling notes; Computer/phone/typing experience required
- Warm, enthusiastic, and hospitable personal manner during all interactions
- Outstanding listening skills and ability to empathize with others
- Trustworthy, responsible, and punctual
- Have confidence and discretion when dealing with stressful situations
- Consistent ability to take initiative and be self-motivated while staying organized, paying attention to detail, and maintaining a high level of customer service
- Ability to multitask and monitor multiple streams of communication at once
- Flexibility to work in a fast-paced environment, collaborating with and supporting colleagues to achieve shared goals
- During Training Period: $21/hour during training period (up to first 180 days)
- After Training Period: $20/hour + commission after training period
