Jones Legal is a prestigious and well-established Law Firm specializing in Family and Probate Law. We are seeking a highly skilled and dedicated Executive Assistant to provide comprehensive support to our Paralegal Professionals and Attorneys. Our firm is known for its commitment to excellence, and we are looking for an individual who shares our passion for delivering outstanding legal services.

Compensation:

$21 - $25 hourly

Responsibilities:

  • Manage and coordinate the schedules of Paralegal Professionals and Attorneys, including arranging meetings, conference calls, and appointments.
  • Prepare and proofread legal documents, correspondence, and reports.
  • Act as the primary point of contact between attorneys, clients, and other third parties, maintaining a high level of professionalism and confidentiality.
  • Conduct legal research and compile information as needed to support attorneys in case preparation.
  • Assist in the preparation of court filings and other legal documents, ensuring accuracy and adherence to deadlines.
  • Organize and maintain electronic and paper filing systems, ensuring easy retrieval of documents.
  • Coordinate travel arrangements, accommodations, and itineraries for attorneys attending out-of-town hearings, depositions, or meetings.
  • Assist with billing and invoicing tasks, including preparing invoices, tracking billable hours, and following up on client payments.
  • Perform general administrative tasks, such as answering phones, managing office supplies, and greeting clients.

Qualifications:

  • Proven experience as an Executive Assistant/Administrator in a Law Firm or legal environment.
  • Strong understanding of legal terminology, procedures, and document formats.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
  • Discretion and ability to handle confidential information with sensitivity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal case management software.
  • Bachelor's degree in Legal Studies, Paralegal Studies, or a related field is a plus.
