JOB DESCRIPTION


As an Executive Administrative Assistant in the Relationship Manager Team Support, you will play a crucial role in supporting the Regional Managing Director and Relationship Managers in Northern California. You will work closely with the Regional Managing Director to provide support in communications, client events coordination, meeting planning, and helping keep the region organized and accountable to reach goals. . Your role will also involve travel planning, business expense preparation, and general office management. This position offers you the opportunity to develop your skills in a high-energy, dynamic environment while making a significant contribution to our team.

Job Responsibilities:

  • Provide administrative assistance and project work supporting the Regional Managing Director
  • Support Relationship Managers with their adoption of technology, consumption of information, and engagement with client events. You will help the Regional Managing Director hold them accountable for hitting goals and staying current on trainings.
  • Plan travel, prepare business expenses, project work, team-related support, tend to some personal affairs.
  • Manage calendars, schedule/coordinate on-site and off-site meetings and handouts (arrange for/initiating all video and dial-in connections), coordinate mailers, collaborate with marketing on event planning and set-up.
  • Involved in the smooth running of all Northern California offices; including but not limited to visitor coordination, food & supply ordering, managing marketing collateral, coordination of mail (pick up/drop off), and general office management.

Required Qualifications, Capabilities, and Skills:

  • Bachelor’s degree or an equivalent combination of education, training, and experience
  • High competency with Microsoft Office suite including Teams and OneNote and strong systems/technology-based thinking and ability to drive adoption to make region more efficient
  • Strong interpersonal, communication and writing skills.
  • Organized, detail-oriented with a high degree of accuracy, and ability to handle a multitude of tasks with shifting priorities under pressure.
  • Ability to not only execute tasks at hand but also develop a plan of action by taking initiative.
  • Must keep the Bank’s safety and security a top priority by maintaining confidentiality and discretion in all matters.

Preferred Qualifications, Capabilities, and Skills:

  • At least 1 year of experience in a relatively comparable position.
  • Experience using Concur a plus.
  • Experience communicating and working with Executive Management a plus.
