ANNOUNCEMENT & PURPOSE OF POSITION
The Pottawattamie County Sheriff's Office, Jail Division, is announcing the hiring of a Jail Secretary.
An individual in this role is responsiblefor providing administrative support service and assistance to the Jail Administration in order to ensure the efficient operation of the division.

ESSENTIAL FUNCTIONS
Provides administrative and clerical support services to jail administration personnel.
Answers the telephone and greets individuals who come to the division, takes messages, answers questions and refers individuals to the appropriate source for assistance.
Assists with the scheduling of meetings for departmental personnel; sets up designated areas for meetings and prepares appropriate materials.
Assists in the performance of bookkeeping functions such as preparing deposits, receipts, etc.
Prepares, composes and types from rough draft departmental communications and records including correspondence, memorandums, reports and forms.
Completes special projects and reports dealing with statistical data research required of the division.
Maintains an accurate file system of all official documents, periodicals, reports, forms and correspondence which may be of a confidential or politically sensitive nature.
Receives, sorts and distributes departmental mail according to established procedures.
Operates standard office equipment in the performance of job duties, i.e. fax machine, copier, personal computer, calculator, etc.
Inventories, orders and stocks office supplies as necessary.
Ensures that departmental copier and fax machines are in proper working order; performs minor maintenance and schedules repairs in the absence of the Supervisor.
Prepares and maintains video visitation booths and reception area; schedules repair and maintenance as needed.
Runs daily reports pertaining to inmate population, court dates, lockdown, attorney and public visitation.
Maintains an accurate and up to date file system on inmate daily visitation forms for the general public and attorneys.
Collects data for bail-bondsmen and other law enforcement officials, i.e. fingerprints, social security numbers, etc.
Runs reports for outstanding warrants and contacts law enforcement officials to serve the warrants.
Arranges visitation between inmates and the public; monitors video visitation.
Collects all monies to be applied to inmate's commissary account.
Writes reports on any altercations occurring in the visitation rooms or reception area.
Collects all information and writes bonds for incarcerated inmates.
Scans all inmates incoming and outgoing mail for contraband; deals with very explicit information on a daily basis.
Establishes and maintains effective working relationships with the general public, governmental officials, law enforcement agencies, supervisors and co-workers.
ESSENTIAL KNOWLEDGE, EXPERIENCE AND ABILITY
Knowledge of and ability to apply general office procedures and standard clerical techniques.
Knowledge of and the ability to learn and perform input and retrieval functions utilizing a variety of computer programs dealing with word processing, spreadsheets and databases.
Knowledge of and the ability to apply the English language and proper grammar, spelling and punctuation.
Knowledge of and the ability to utilize proper telephone etiquette.
Knowledge of and the ability to utilize basic bookkeeping skills.
Knowledge of and the ability to perform mathematical calculations, including addition, subtraction, multiplication and division using a calculator, adding machine or manually.
Ability to learn and operate standard office equipment.
Ability to learn and apply divisional policies and procedures.
Ability to compose a variety of correspondence, memoranda and other documents using independent judgment based upon knowledge of departmental policies and procedures.
Ability to maintain departmental records, to compile information and prepare accurate records and reports.
Ability to maintain confidentiality of all departmental communications, documents and correspondence.
Ability to communicate effectively, both orally and in writing.
Ability to understand and follow both oral and written instructions.
Ability to establish and maintain effective working relationships with the general public, governmental officials, law enforcement agencies, supervisors and co-workers.
Ability to work independently, plan and organize a personal work schedule, set priorities and meet established deadlines.
Ability to type accurately using a typewriter, word processor, and personal computer.
ESSENTIAL EDUCATION, CERTIFICATION AND/OR LICENSES
Must be at least 18 years of age and possess a high school diploma or GED equivalent.
Must obtain a NCIC certification within six (6) months of employment.

As outlined by the Prison Rape Elimination Act (PREA), the Pottawattamie County Jail shall ask all applicants and employees, who may have contact with inmates, about previous conduct described below in written applications or interviews for hiring or promotions and in any interviews or written self-evaluations conducted as part of reviews of current employees.115.17(a) The agency shall not hire or promote anyone who may have contact with inmates, and shall not enlist the services of any contractor who may have contact with inmates, who (1) Has engaged in sexual abuse in a prison, jail, lockup,community confinement facility, juvenile facility, or otherinstitution (as defined in 42 U.S.C. 1997);(2) Has been convicted of engaging or attempting toengage in sexual activity in the community facilitated byforce, overt or implied threats of force, or coercion, or if thevictim did not consent or was unable to consent or refuse;or(3) Has been civilly or administratively adjudicated to haveengaged in the activity described in paragraph (a)(2) of thissection.I acknowledge that I have read the above statement and agree to answer the questions included in this application on this topic.
