POSITION DESCRIPTION:

 

The IT Project Manager coordinates people and processes to ensure that data projects are delivered on time and produce the desired results. The IT Project Manager is an integral part of our team, helping the team to plan and manage concurrent high priority data projects requested across the organization. This role assists the team with workflow refinement and overall resource management. Position works closely with Information Systems leadership to assign resources, manage competing priorities and establish action plans and timelines for multiple projects.

 

 

ESSENTIAL JOB FUNCTIONS:

 

  1. Provides project leadership and direction through an effective, clear and well-managed project plan for highly visible data projects which are essential to ensuring the success of established IHA Priorities.
  2. Provides project management support with well-developed and communicated project plans, development and dissemination of relevant status reports, and coordination of meetings. Ensures that milestones and/or key deadlines are met or exceeded.
  3. Plays a crucial role in optimizing the allocation and utilization of staff resources, ensuring that projects are adequately staffed, and all available resources are utilized efficiently to achieve business objectives.
  4. Helps to optimize resource utilization through work-tracking in Jira (or other systems) to maximize output while ensuring employees' workloads are balanced and aligned with their skill sets.
  5. Helps support an environment where continuous deployment and improvement of the development process is the focus and everyone's common goal is to deliver outstanding data visualizations/reports/dashboards to our customers.
  6. Use all aspects of Jira and/or Azure DevOps (ADO) to manage Work, Backlogs, Sprints and Delivery Plans to create efficiencies for the teams and their daily activities.
  7. Leads meeting planning and agenda development; manages meetings, identifies and requests allocation of resources needed to achieve desired outcomes.  Responsible for follow-up tracking and retention of meeting minutes.
  8. Leads the planning and activation of new projects including tracking, confirming objectives, scope, approach, stakeholders, deliverables, milestones, workplan, team members and budget.
  9. Gathers, researches and compiles background or other relevant information to support high-level or complex data projects; compiles in a usable format for review and evaluation.
  10. Coordinates and oversees portfolio of data-focused projects. Manages completion of project activities, holding others accountable for assigned tasks, deadlines, etc.
  11. Controls scope by developing clear project deliverables, and managing expectations.  Provides change management, issue resolution, risk management and status reporting.
  12. Prepares and presents graphical representations relating to project statuses and interprets findings.
  13. Plans, conducts and manages multiple projects and assignments, as necessary.
  14. Reviews business processes as appropriate to guide project management and development.
  15. Manages IT support for acquisitions, new office openings, office mergers and other organizational changes which may include WAN, LAN, WiFi, computers, phones, printers, copiers, user lists, training and planning for Day 1 activities.
  16. Develops implementation strategies and training plans for assigned projects.
  17. Confirms work in progress and final product through informal and formal reviews and approvals.
  18. Manages communications, relationships and expectations throughout the project.
  19. Proactively identifies and raises issues with project teams; assists with making recommendations, and managing changes.   
  20. All other duties as assigned.

ESSENTIAL QUALIFICATIONS:

 

EDUCATION:  Bachelor’s Degree in Healthcare Administration, Information Technology or related field or equivalent combination of education and job experience.  

 

CREDENTIALS/LICENSURE:  PMP certification is preferred. Certified Change Management Professional (CCMP) is also valued.

 

MINIMUM EXPERIENCE:  Minimum of 2 years’ previous experience successfully leading high profile organizational projects, demonstrated background in project management and providing leadership support, preferably in information technology within a healthcare environment. Previous background working in a matrix-managed organization.

 

POSITION REQUIREMENTS (ABILITIES & SKILLS):

 

  1. Knowledge of industry-appropriate terms generally used in project management.
  2. High-level of proficiency in operating a standard desktop and Windows-based computer system, including but not limited to, Project Management applications, electronic medical records/templates, NextGen, Epic, Microsoft Office (Excel, Access, Outlook, Word, PowerPoint), email, e-learning, intranet and computer navigation.
  3. Ability to perform mathematical calculations needed during the course of performing basic job duties.
  4. High-level of proficiency working with complex data environments and business intelligence reporting with the ability to effectively understand terminology and processes utilized to ensure successful project completion.
  5. Knowledgeable of data lifecycle, data warehousing, business intelligence tools and data visualization best practices. Understands healthcare business processes, EHR systems, ERP systems, population and quality health concepts,
  6. Proficient in data terminology and definitions, as well as common healthcare terminology.
  7. Proficient in Project Management applications and tools.
  8. Proficient with common Agile and Scrum Practices.
  9. Experience managing IT support for acquisitions, new office openings, office mergers and other organizational changes which may include WAN, LAN, WiFi, computers, phones, printers, copiers, user lists, training and planning for Day 1 activities.
  10. High level of proficiency with managing moderate to highly complex projects ranging in scope from development of new data sets and dashboards to ERP system conversions and expanding data services to new divisions.
  11. Excellent communication skills in both written and verbal forms, including proper phone etiquette.  Excellent technical writing skills and ability to present complex and/or technical concepts to different types of audiences.  Ability to write clear, unambiguous project charters with clearly defined deliverables and success criteria.
  12. Exhibits resourcefulness, is self-motivated, highly organized and possesses excellent interpersonal communication skills.
  13. Ability to facilitate a group discussion, either in-person or virtually, and effectively manage meetings.
  14. Comfortable in a fast-paced environment with multiple tracks of work.
  15. Ability to manage projects with general direction and a moderate degree of ambiguity.
  16. Ability to identify key contacts for project success.
  17. Demonstrated ability to work independently and coordinate, direct and oversee the work of others.
  18. Ability to cross-train in other areas of practice/department in order to achieve smooth flow of all operations.
  19. Aptitude to extract, combine and analyze data from project management tools into meaningful stakeholder reports and presentations.
  20. Highly proficient in organizational and time management skills to effectively juggle multiple priorities, time constraints and ever-changing medical and operations situations.
  21. Demonstrated ability to exercise sound judgement, troubleshooting and problem-solving skills, i.e., identifying complex problems, reviewing options and making appropriate recommendations based on the business case presented.
  22. Ability to reconcile differing points of view and influence others to reach consensus on difficult project issues.
  23. Ability to work independently and collaboratively in a team-oriented environment as a member of the Information Systems team. Possesses courteous and friendly demeanor.
  24. Ability to work effectively with various levels of organizational members and diverse populations including IHA staff and management, senior management group, site medical directors, division heads, providers, patients, family members, outside customers, vendors, hospitals and community groups.
  25. Knowledge of the compliance aspects of clinical care, patient privacy and best practices in medical office operations.
  26. Willing to gain an overall understanding of IHA structure and work flow processes throughout the organization.
  27. Ability to handle patient and organizational information in a confidential manner.
  28. Ability to drive to other office/practice sites and meeting and training locations.
  29. Successful completion of IHA competency-based program within introductory and training period.
