Summary of Job Duties:
The IT Procurement Specialist has the responsibility for overseeing daily activities of procurement, inbound material transportation, central receiving and contract fulfillment for IT equipment, supplies, services and software. The IT Procurement Specialist is the primary contact for the acquisition of all Technology related equipment for the entire University. This position will report to the Director of Information Technology Services.
Qualifications:
Education & Work Experience:
Minimum qualifications include a two year degree in a technical or business field and two years working in a technical or business field. Other job related education and/or experience may be substituted for all or part of these basic requirements upon approval.
Other Knowledge, Skills, and Abilities:
To perform the job successfully, the following competencies are required for the essential functions of this position:
  • Knowledge of procurement concepts including state of Arkansas Higher Education guidelines and state contract procedures.
  • Knowledge of budgetary fundamentals.
  • Attention to detail.
  • Ability to organize and maintain detailed records.
  • Ability to meet deadlines and work within state guidelines.
  • Ability to communicate well both orally and in writing.
  • Experience in preparing formal quotes and bid specifications.
  • Computer experience with data entry and with database concepts.
  • General knowledge of information technology terminology

Essential Duties and Responsibilities:
  • Purchasing - Creating and managing requisitions including entering requisitions into the ERP system, monitoring approvals, and ensuring that purchase orders are processed correctly. Also includes maintaining records on all requisitions, purchase orders, and costs of said items. Adding inventory into Workday.
  • Order, setup, and maintain copiers and copier contracts. Administer users on all copiers.
    • Manage IT maintenance agreements and software licenses including ensuring that all agreements and licenses are kept up to date and paid. Also includes maintaining an up-to-date vendor list.
  • Help to maintain and administer the My.UAFS intranet and the IT department pages on uafs.edu.
  • Other duties as assigned.

  • Evaluate current procedures and processes and provide recommendations for improvements.
  • Assist directors in reviewing and preparing budgets.
  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and to provide leadership for subordinates.
  • Requires consistent on-time attendance.

Working Relationships:
The IT Procurement Specialist will work closely with Technology Services staff to understand the purchasing needs and the scope of the work being impacted by the procurement process. The specialist will also interact closely with vendors and other external professionals to maintain knowledge of current pricing and the availability of products as well as with personnel from other agencies and institutions.
Special Job Dimensions:
Work performed primarily in an office setting. Regularly involves interacting with computers for an extended periods of time. Extended working hours occasionally required.

$38,000-$42,550/year, commensurate with education and experience.
