IT Budget and Vendor Administrator (Hybrid)

The Information Technology (IT) Budget and Vendor Administrator is a unique role that is responsible for partnering across the organization to support information technology operations and initiatives. This position primarily will be focused on coordinating and reviewing the IT budget which will include tracking, monitoring, and reporting on IT spend and cost saving programs. In addition to budget coordination, this role will be responsible for acting as a company partner for external vendors, which may include going between the internal IT and Legal departments. This position requires the ability to create strong internal and external relationships, manage time, and stay organized.

Position Description:

  • Provide IT budget administration and coordination to include tracking, monitoring, reporting, purchasing, and invoicing on behalf of the department and assigned leadership.
  • Coordinate and partner with Legal on all contract reviews, negotiate new and renewal contracts terms including improve costs.
  • Responsible for partnering with leadership to coordinate and document the budget financial planning process steps, which will include personnel reporting and budget policy development and implementation.
  • as needed to support the organization IT division.
  • Responsible for coordinating the appropriation requests (ARs), purchase orders (POs), making department purchases utilizing a purchase card (P-card), and providing other invoicing related activities for the department.
  • Create monthly, quarterly, and annual IT budget analysis trend reporting and assist with identifying overall budget needs, and adjustments, to maintain budgetary controls. Track cost savings across IT, providing spending trends, and identifying cost savings opportunities.
  • Validate data anomalies and clean financial data used for budget, to ensure accuracy and incentivize improved performance.
  • Verify IT vendor contracts, spend trends, including deviations; identify cost saving opportunities and evaluate total cost of vendor management. Identify cost optimization opportunities, including unused services or products in the contract, to reduce costs on vendor contracts.
  • Audit invoices against contracts, dispute anomalies, and recover funds, as needed.
  • Conduct account reconciliation on a routine basis and provide reporting logs on incoming/outgoing budget controls.
  • Collaborate with IT Leadership Team on forecasting, cost, and financial analysis for budgeting purposes and future planning.
  • Partner with internal stakeholders to manage and maximize budget spend.

Background Required:

  • Bachelor’s degree in business, finance, information technology, or a related field of study is preferred.
  • A minimum of 2 years of experience in finance, data analysis, bookkeeping, accounting, contracting or a related experience is required, if degreed. A minimum of 6 years of related experience is required, if non-degreed. Prefer experience to have a focus on information technology budgeting and contracting with comfort leveraging Excel to support the planning process until a formal planning tool is put in place.
  • Able to adhere to deadlines with high quality deliverables.
  • Strong ability to identify process inefficiencies and implement scalable solutions.
  • Team player with positive attitude.
  • Able to review contract language and interpret relevant operational details.
  • Able to present budget detail to leadership in a visual manner which may include charts graphs, or dashboards.
  • Intermediate proficiency with the Microsoft Office suite (Excel, PowerPoint, Word, Outlook).
  • Strong communication skills both written and verbal expression.
  • Strong negotiation skills to maintain or improve contract renewal spend.

Miscellaneous:

  • Compensation: $70,000 – $90,000 + 10% bonus.
  • Full benefit package including medical, dental and 401(k).
