About the Office of the Vice President for International Affairs (OVPIA)

The Vice President for International Affairs and the teams of staff in OVPIA's offices are the stewards of international activity across all campuses of Indiana University. We provide strategic leadership and advocacy for all international programs and projects and coordinate the resources necessary to sustain their growth. Our goal is to enable as many students, faculty, and staff as possible to pursue international and intercultural knowledge and experiences and to become engaged global citizens.

Within OVPIA, the Office of International Services (OIS) is dedicated to helping international students and scholars achieve their goals. Our staff recruit, admit, and enroll international students from all over the world. We provide social and cultural programming and visa- and immigration-related advising among other assistance to all international students and scholars. The client services team in OIS acts as the front face of the office. Our caring team members answer the phone, respond to email, and provide in-person assistance. They are trained across the spectrum of services our office provides to ensure individuals can receive quick, expert advice in their situation.

Job Summary

  • Serves as primary point of contact in-person and by phone and email for international students and scholars, academic departments, and other clients with requests for services and information related to immigration regulations and OIS procedures; serves as primary point of contact by phone and email for international student applicants and academic departments accepting international applications.
  • Researches and responds to a broad range of inquiries from incoming and current students, such as the immigration policies, documents, and regulations related to employment and work authorization, SSN applications, travel, expiring immigration documents, etc. Works with appropriate staff to ensure that client needs are met in the most efficient way possible.
  • Collects and administers initial review of immigration-related documents and forms. Makes judgment calls on the proper level of service, is sensitive to deadlines and the timing issues related to immigration regulations, and schedules appointments as appropriate. Maintains working knowledge of immigration regulations and procedures.
  • Monitors and processes a variety of e-forms and other requests from international students. Troubleshoots issues clients encounter and explains how to navigate the systems, use checklists, and submit e-forms.
  • Assists in training of new staff on university's international admissions standards, policies and procedures, and basic immigration regulations.
  • Serves as Notary Public and provides notarization services as requested.
  • Provides general administrative support to the office and other special projects and duties as assigned.

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.


EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Preferred

  • Bachelor's degree

WORK EXPERIENCE

Required

  • 2 years of related office experience.

Preferred

  • Experience handling complex customer service situations in a university setting.
  • 2 years of experience in a complex customer services environment within a university setting.
  • Experience with federal guidelines and regulations governing international students and scholars.

Working Conditions / Demands


This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location


Bloomington, Indiana

After an initial period of training that will take place in-person at the Ferguson International Center, this position may be eligible to work a hybrid schedule (mix between remote and in-person work). Approval for hybrid work is dependent upon the work needs of the department and is subject to change based on university policy and business needs.

Advertised Salary


$19.20 per hour
