Job Description Summary

Every day, far too many people experience confusion, frustration and lengthy delays when attempting to access much-needed mental health and wellbeing services for themselves, their patients, or their loved ones. In your role as Intake Coordinator for Modern Minds, you will be on the frontline of challenging this status quo by ensuring that every client and provider who engages with Modern Minds has a seamless, world-class experience from day one. As a critical member of the team, you will respond to phone and web inquiries about Modern Minds, process referrals from outside providers, maintain a database of referrals and inquiries, conduct preliminary phone screening with potential clients, assist with scheduling appointments, and make appropriate referrals to other providers in the community. This is a full time, onsite position (with the potential for hybrid) for which candidates must have the ability to maintain flexible hours regularly, including some evenings.

Job Description

Job Duties

  • Serve as the first point of contact for clients, providing an overview of Modern Minds services, conducting soft screen and enrollment processes, and scheduling appointments within the electronic medical record.
  • Collect client demographics and payment method in the electronic medical record.
  • Send assessment materials to be completed prior to the first appointment.
  • Collect medical records and details pertaining to previous treatments and general health of clients prior to assessment appointment.
  • Ensure the therapists and wellness navigators are prepared for upcoming new client appointments by completing soft screen and enrollment processes, uploading relevant files to electronic medical record, and informing care team of scheduled appointments.
  • Work alongside our multidisciplinary team at Modern Minds to facilitate excellent client communication and care.
  • Maintain up-to-date knowledge and database of local mental health and ancillary resources including building relationships with community partners.
  • Assists with referring clients to community partners as appropriate.
  • Other duties as assigned.

Additional Job Description

  • High school diploma required; bachelor’s degree preferred.
  • 1-3+ years of relevant experience preferred.
  • Must be excited about the opportunity to play a critical role in a fast-paced and entrepreneurial mental health and wellbeing organization.

• • Must demonstrate excellent communication skills and ability to provide world-class customer service.

• • Must be polite, confident, patient, empathetic and action oriented.

• • Must be self-motivated and able to learn quickly.

• • Must be adept at time-management, multitasking and problem solving.

• • Experience in a customer service, hospitality or other relevant role is a plus.

• • Experience working in a telephonic and technology-driven environment is a plus.

• • Experience working in mental health and / or in a medical clinic is a plus.

• • Experience working with billing software, electronic medical records and / or other software used to run a medical clinic is a plus.
