Description
Schedule: M-F, 8am - 5pm, occasional evenings and weekends. Hybrid work options available after probationary period.
What you will be doing:
You will be responsible for management of the organization's grant funding activity, from funder prospect research, proposal submission to final reporting and grantor stewardship. You'll work closely with the Director of Philanthropy to establish and implement the strategy for grant funding for the organization, including identifying opportunities and working with various department leadership to seek funding for both general operating support and museum programming, education, and related initiatives. You will be leading the post-award process, collaborating across departments to ensure grantor requirement fulfillment. Additionally, you will help to write and create a range of content supporting philanthropic communication with external audiences, and as the internal resource of high-level organization-wide output and impact data.

The Society serves individuals and organizations statewide through publications, outreach programs, curriculum, free virtual public programs, and other online services. However, the majority of the Society's interactions with the public occur at the Washington State History Museum, located in Tacoma, Washington. The Museum traditionally serves more than 80,000 annually, including more than 15,000 K-12 school children visiting the museum on a field trip. We also welcome more than 10,000 visitors free of charge each year through a variety of access programs.
We are much more than a regional museum. We continually ask ourselves how we can better serve Washingtonians across our state. Our Heritage Capital Projects grant program distributes up to $10M per biennium to fund public heritage, history interpretation, and historic preservation projects across the state. Our popular public history magazine COLUMBIA is enjoyed by readers of all ages. And the Historical Society's collections at our Research Center, along with a digital collections database, are a resource to scholars and researchers from across the nation.

Duties
Some of what you'll enjoy doing includes:
  • Research, prepare and submit grant and sponsorship proposals and reports for foundation, government, and corporate applications
  • Track and fulfill donor post-award requirements including reporting, communications, and stewardship
  • Help develop relationships and act as a WSHS representative with current and prospective funding entities
  • Maintain internal grants tracking calendar for the philanthropy department, tracking prospects, proposals, awards and visits necessary in support of grant funding efforts.
  • Identify corporate sponsorship opportunities for one-time and ongoing programs, exhibitions and events at WSHS
  • Find, add, update, edit, and report on constituent data or information regularly in the donor database (Altru)
  • Submit timely contact reports to document interactions and build institutional knowledge
  • Work collaboratively and cooperatively with all Historical Society departments to ensure consistent, comprehensive, and accurate representation of programs, services, accomplishments, participation, etc., both in crafting proposals and in submitting any required reporting on grant and sponsorship funded activities
  • Lead post-award grant administration to ensure that budgeting and administrative policies, procedures, activity tracking, reporting and any other grantor requirements are followed
  • Facilitate post-award sponsorship administration to ensure that branding, promotional and all other recognition fulfillment procedures and reporting are followed
  • Assist the Director of Philanthropy in creating and implementing engagement campaigns to increase donations from institutional and corporate partners
  • Work across departments to solicit, collect, and maintain complex internal qualitative and quantitative data, including stories of impact, testimonials, and impact data; serve as a resource to others by presenting this information as needed
  • Collaborate and work as a member of the Philanthropy department, encouraging philanthropic actions and efforts across the organization
  • Help create, edit, and deliver philanthropic communications in multiple formats including: email and mail, donor and member communication packages, direct mail solicitations, e-newsletter, online ads, onsite collateral, newsletter stories, annual report highlights, etc.
  • Maintain and conduct periodic updates on a library of WSHS reference documentation, including such information as grantor requirements and forms, financials, awards, reference literature, etc.
  • Support campaign, annual fund, special and year-end fundraising efforts
  • Attend and assist with Philanthropy department events and programs such as member nights, and exhibition openings
  • Participate in staff-wide DEI trainings in order to contribute to an inclusive space for our constituents and to implement relevant strategies and best practices in this role

Qualifications
REQUIRED:
Bachelor's degree
AND
Two years of experience meeting grant and sponsorship revenue goals through management of processes and writing grant and sponsorship appeals, or equivalent education and experience.
**Experience may substitute for education.
AND
  • Demonstrated success writing and managing grants from foundation, corporate, and government grant funding sources at local, regional, and national levels.
  • Successful track record of meeting yearly income targets and solicitation goals
  • Demonstrated success writing and managing corporate sponsorship appeals.
  • Thorough knowledge of grant application policies, procedures and processes, including: working knowledge of best practices, grant funding research tools and ability to create grant budgets.
  • Demonstrated skill in managing complex grants from start to finish, including financial oversight and reporting.
  • Proven ability to work effectively and independently across departments in developing, organizing and managing proposals and awards.
  • Excellent written and oral communication skills. Strong grammar and spelling skills with the ability to independently compose and/or edit materials; experience proofing and editing under tight deadlines.
  • Ability to adapt writing for various audiences, from institutional funders to members and individual donors, and manage effective fundraising communications across multiple channels.
  • Comfort and confidence communicating by phone, email, and in person.
  • Strong time management, organizational, and follow-through skills.
  • Proficient w/ MS office tools, database tools, and internet research.
  • Prior experience entering and managing donor/grantor data in a CRM system.
  • Proven skills in organizing resources, establishing priorities, and meeting deadlines.
  • Demonstrated ability to analyze and interpret financial data and prepare financial reports, grant project budgets statements and/or projections; knowledge of budgeting and fiscal management principles and procedures.
  • Honor diversity, equity, and inclusion and commit to supporting a respectful, safe and supportive work environment.

Experience working in the heritage or museum sector
