A Japanese manufacturing company is seeking an Inside Sales.
*A hybrid option after the training period may be available. (1-2 days work from home)
GENERAL POSITION SUMMARY
The Inside Sales position is responsible for providing effective customer service for all internal and external customers by using excellent, in-depth knowledge of company products and programs as well as communicating effectively with team members.

ESSENTIAL JOB FUNCTIONS
1. Inside Sales
a) Client Communication

  • Builds and maintains relationships with the existing customers.
  • Builds and maintains relationships with the new customers.
  • Communicates with new customers by phone, email and facsimile; explains product features, price quotes, product availability, and receives orders for products.
  • Communicates with existing customers by phone, emails and facsimile, and receives orders for products.
  • Answers products inquiries from customers.


b) Quotation

  • Prepares quotes to customers based on the company's business conditions to customers.
  • Corresponds any inquiries from customers in regards to the quotes.
  • Follows up the customers after providing quotes and answers inquiries as needed.
  • Provide assistance for preparing sales contracts for orders obtained.
  • Provide assistance when transaction conditions, such as credit terms, deviate from company policies, and report these instances to the superior to seek approval.


c) Responding to Order Inquiries

  • Communicates with customers in regards to orders.
  • Communicates with customers in regards to deliveries status.
  • Adjusts complaints concerning billing or products, referring complaints to designated departments for investigation.


2. Sales Administration
a) Documentation and Reporting

  • Reports to work daily (M-F) based on company schedule and complies with all company policies and procedures.
  • Maintains customer records.


b) Validation and Correction

  • Corrects and adjusts drawings.
  • Translates drawings if necessary.
  • Ensures of the product drawings.
  • Provides assistance to verify payment/shipping methods, shipping addresses contact information.


c) Data Entry

  • Enters data related quotes, sales orders and purchase orders into the Company computer system.


d) Product Management

  • Provide assistance to check shipping supplies, such as boxes and envelops, and places orders as needed.
  • Provide assistance to ensure invoices and received products match.


e) Support and Follow-up

  • Partners with the Sales Team to meet and exceed customers’ service expectations.
  • Performs special projects and other miscellaneous duties as assigned by the supervisors.


3. Accounting & Purchasing
a) Procurement

  • Requests for quotes to venders.
  • Negotiates the prices with venders.
  • Places product orders to vendors; ensures orders are accurate, correct, and received according to planned schedule.


4. Order Process and Shipping
a) Order Preparation

  • Estimates date of delivery to customers, based on knowledge of the US office’s inventory level and delivery schedule.
  • Estimates date of delivery to customer, based on knowledge of supplier inventory and delivery schedules.
  • Organizes purchase order forms from customers.


b) Order Reception

  • Processes quotes and received orders into the Company computer system, and prepares necessary correspondence and documentation.

5. Outside Sales
a) Communication with Prospect Clients

  • Provide assistance for communication with prospective customers by phone, email and facsimile; explains product features and price quotes.
  • Provide assistance for contacting prospective customers to discuss their needs, and explain how their needs could be met by specific company products offered.


b) Communication with Dormant Clients

  • Provide assistance for contacting dormant customers to discuss their needs, and explain how their needs could be met by specific company products offered.


c) Exposure towards Prospect Clients

  • Provide assistance for promoting the company and products online using SNS etc.

i) Computer Proficiency

  • Microsoft, Online conference systems.

3. Qualification
a) Education and Requirements

  • Associate’s degree (A.A.) from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.


b) Work Experience

  • Three to four years of office clerical/support experience.


c) Supervisory Responsibilities

  • Not required.
