Infrastructure Database Specialist

The Infrastructure Database Specialist (IDS) oversees multiple programs that track data elements across the entire site, which consists of ~1m square feet of buildings and dozens of other structures and piping networks. This role works with subject matter experts to collect a range of information on every piece of our infrastructure, maintain them in a federal database, and organize an annual federal assessment of these data elements. Additionally, the IDS works to evaluate, update, and improve the tracking methodology of this data, including accurate classification and identification of deferred maintenance and repair needs. The candidate must learn multiple data sets, the databases where they are housed, and own the reporting requirements of these data sets, working with subject matter experts to assure accuracy and compliance with regulatory requirements.

Responsible for maintaining PPPL’s corporate inventory system for real property, the Department of Energy’s Facility Information Management System (FIMS) database. FIMS encompasses all real property assets to include land, buildings, trailers, and other structured facilities as specified by the Department of Energy’s guidelines. Responsible for tracking and organizing all FIMS data elements for all PPPL’s real property assets. Provides oversight and management of PPPL’s building condition assessments. Leads functional assessment meetings, deferred maintenance and repair needs collection processes and teams. Leads PPPL to successful annual FIMS audit reviews and validation events. Provides ownership of the condition assessment database, including report writing and annual evaluations performed with subject matter experts.

Core Duties: 

• Provide oversight for major segments of PPPL’s Real Property Management Program. (5%)
• Communicate and interact with the Princeton Site Office personnel, FIMS contractors, DOE HQ offices as required to ensure timely and appropriate response to initiatives, data calls, and routine database activities. (5%)
• Facilitate annual FIMS validation events. (15%)
• Provide data for reporting in accordance with DOE and FIMS requirements. (5%)
• Work cross-functionally with various PPPL departments to develop and maintain source documentation for FIMS annual data validation. (20%)
• Advise on regulatory matters concerning real property control, real property use, and maintenance of Government property. (5%)
• Ensure consistency between CMMS with other databases including FIMS and VFA Facility database. (5%)
• Identification and ordering of all Facilities department computers, tablets, and related peripheral equipment within the Oracle business system. (5%)
• Complete and stay up-to-date on DOE’s FIMS User Training and FIMS Validation training. (5%)
• Contribute to the development and execution of the PPPL infrastructure planning efforts. (5%)
• Maintain databases for the site’s keying program, including logging key issuances. (5%)
• Oversee the condition assessment database, taking required training and performing routine data calls with subject matter experts to update deferred maintenance. Learn and provide reports from the database for various data calls. (20%)

Education and Experience: 

• High school diploma required. Associate or Bachelor’s degree preferred.
• Minimum 2 years’ experience of administrative management of datasets. Other administrative experience may qualify as transferrable skill.
• Experience with Facilities and infrastructure a plus.
• Experience with the DOE and navigating federal regulations desired.

Knowledge, Skills and Abilities: 

• Skill in developing, implementing, administering, evaluating, monitoring, or coordinating programs, policies, regulations, and procedures concerned with the management, control, utilization, or disposition of industrial, real, or personal property.
• Strong multi-platform computer skills with the ability to effectively use various campus, department, and Department of Energy (DOE) software systems.
• Knowledge of database administration fundamentals, management, techniques and tools.
• Must display a meticulous attention to detail and precision in all reporting.
• Excellent communications skills required.

Working Conditions: 

• Hybrid work- ability to produce measured results while both in-the-office and working remotely, with an approximate 50% split between the two.
