Job Summary
Under the supervision of the Support & Information Services Unit Manager, is primarily responsible for the initial response to customer communications, including providing responses and assistance to general questions and concerns from customers in the Friend of the Court lobby. Activities include: providing FOC forms and court forms to customers and receiving documents submitted to the FOC; entering case notes on the MiCSES system; forwarding calls that require the assistance of other staff members; scheduling customer appointments with other staff members; checking parties in for court hearings; providing accurate information to clients about case status, court policies and procedures; and performing other general clerical duties and back up to other staff as may be directed.
Primary Duties & Responsibilities
- Assisting clients and providing professional responses to general questions and concerns utilizing information that is immediately available on MiCSES, TCS, or other information systems.
- Identifying and referring concerns that need more specific assistance to appropriate staff.
- Entering case notes for each call on the MiCSES system.
- Processing forms as requested or required as a follow-up to telephone inquiries.
- Update and process changes within MiCSES data base as may be required of the Information Services Unit.
- Attend staff meetings and in-service training sessions as required.
- Operate a computer terminal to access, correct and change case information.
- Provide information to clients regarding cases, court policy and procedure in response to routine inquiries.
- Maintain records and reports in order to compile activity information for reporting purposes.
- Process payments as backup to other staff.
- Maintain the appointment log and set appointments with appropriate staff.
- Check clients in upon entering our lobby and determine how best to respond based on knowledge of the duties, forms and policies of the office.`
Qualifications
- High school graduation or equivalent.
- Excellent verbal communication skills a must. One year of general office experience and providing direct customer service preferred. Ability to type and operate computers and other general office equipment. General knowledge and understanding of FOC duties and responsibilities.
