The Information Governance Specialist is responsible for maintaining active client and administrative records, both electronic and hard copy, under general direction from department management.
RESPONSIBILITIES
• Performs routine file creation, organizes, and maintains client and administrative records, in accordance with Firm and department rules, procedures and guidelines;
• Processes requests for records, refiling indexes and any other information requested by attorneys;
• Performs review of electronic records in records management database; and other Firm approved repositories;
• Participates in the training of other Record and Information Governance personnel;
• Interfaces with and maintains excellent working relationships with all Firm personnel;
• Accesses, edits, and maintains records management database, including auditing and updating circulation data;
• Participates in special team projects, as needed;
• Assists in identifying opportunities to promote and increase user adoption of DMS;
• Educates attorneys and staff to ensure effective use of appropriate locations where Client specific and Firm data should be stored; and
• Performs other duties, as assigned.
QUALIFICATIONS
• Two or more years of college preferred;
• Two or more years of Records Management or related experience in a law firm or corporate environment;
• Knowledge of Microsoft Windows, PC and Microsoft Word and Excel required;
• Experience with automated Legal Records Management system: Autonomy Records Manager, LegalKey, Elite or similar applications, as well as document and barcode scanners, preferred;
• Excellent interpersonal and customer service skills;
• Solid written and verbal communication skills;
• Ability to multi-task, work independently and complete projects within given deadlines;
• Ability to lift and move boxes weighing upwards of 30-35 pounds; and
• Ability to work overtime as needed.
This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The hours for this position are 9:00 a.m. to 5:00 p.m., Monday through Friday. The estimated salary range for this position is $70,000 to $80,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
