Role: In-House Agency Creative Operations Manager

Location details: Remote within the United States.

Required experience: Bachelor's degree in business administration, finance, accounting or related field or equivalent (eight years) work experience. In addition to education or educational equivalent, requires work experience requiring leadership, communication, negotiation, and administration skills; 5-8 years. Discretion and confidentiality required. Experience at in-house or other agencies strongly preferred.

01 The Job  

As the in-house agency Creative Operations Manager, you will provide oversight and direct support in areas of Creative Operations, finance administration, and business planning and execution to enable the in-house creative agency team to successfully deliver on organizational goals. Seek continuous improvement to the systems and processes used within the in-house agency to optimize our resources and maximize our impact to help the business operate, innovate, and grow. You will help carry out our Christian organization’s mission, vision, and strategies. You will also personify the ministry of World Vision by witnessing to Christ and ministering to others through life, deed, word and sign.

 

This role reports to Director of Creative Operations. The top three areas of focus include:

 

  1. Maintain/manage the project management system and other tech-stack tools.
    • Maintain systems of record, optimizing functionality for most effective operations
    • Plan and execute staff training, both for new employees and ongoing training
    • Recommend, implement, and oversee changes to new systems when necessary.
    • Support team using effective change-management strategies for high adoption and use of new systems. 

 

  1. Recommend, implement, and oversee effective workflow processes. Develop and align to standard operating procedures.
    • Train team members accordingly, promoting accountability and adherence to new processes
    • Create and maintain systems and workflows that promote innovation and growth to meet organizational goals
    • Formalize best practices across in-house Agency and broader division. 

 

  1. Manage vendor contract negotiation and maintenance.
    • Partner with leadership, contracts, finance, and/or legal teams for effective execution of contract agreements with external vendors (including creative agencies, freelance partners, and other outsourced services) in compliance with organizational requirements.

 

A Day in the Life of the Creative Operations Manager:

As the Creative Operations Manager within our in-house agency, each day brings a dynamic blend of responsibilities aimed at optimizing our Creative Operations and supporting our team's mission to serve our organization's goals. You'll start your day with a quick review of your schedule and priority tasks, and a moment of reflection to center your work around our Christian values.

Morning:

  • Begin your day with a team huddle to ensure everyone is aligned on current projects and priorities.
  • Review the project management system to check the status of ongoing projects and assess any issues that need immediate attention.
  • Work with the Traffic Manager to oversee daily production and resource travel schedules.
  • Collaborate with cross-functional teams to understand their operational needs and align them with our agency's strategies and plans.

Mid-Morning:

  • Dive into your role's key functions. This may involve maintaining systems of record, optimizing our tech-stack tools, and ensuring effective project management.
  • Support team members in using our systems and tools, providing training as needed.
  • Continuously monitor and assess the efficiency of our workflows and identify areas for improvement.
  • Coordinate with external vendors, ensuring contract agreements align with our organizational requirements.

Lunch Break:

  • Take a well-deserved break to recharge and connect with colleagues. We value the balance between work and personal life.

Afternoon:

  • Implement and oversee changes to our systems and workflows, always striving for innovation and growth.
  • Formulate and formalize best practices, promoting accountability and adherence across the agency.
  • Prepare management reports based on scorecard metrics and provide projections and analyses to our leadership.
  • Collaborate with other departments and divisions on various initiatives and projects.

End of Day:

  • Wrap up your day by ensuring that processes and systems are in place to provide timely operational information.
  • Reflect on the impact of your work on our organization's mission, vision, and strategies.
  • Keep Christ central in your life and actions, actively participating in the spiritual disciplines of our organization.

Ongoing:

  • You'll continuously seek opportunities for improvement, optimize resource allocation, and foster a culture of creativity and collaboration.
  • This role is pivotal in driving our in-house agency's efficiency and effectiveness, ensuring that we deliver exceptional creative solutions that align with our organization's values and goals. 05 Additional skills we're interested in

  • Love for and proven aptitude for problem solving for efficiencies and effectiveness. Might be considered a "troubleshooter".
  • Demonstration of systemic thinking; awareness and consideration of interdependencies and implications of decisions and actions (especially in workflows, systems)
  • Influencing skills - ability to guide through change management, persuade others that they are not directly supervising.
  • Strong project management, results-driven, and detail-oriented – a self-starter who proactively takes the initiative to complete assigned tasks, driving their own projects without relying on others to initiate the work.
  • Experience in participating in or leading the process of evaluating and changing to new systems (i.e., changing project management systems).

 

06 Salary Range & Benefits The full range for this position $75,706 to $119,412 annually. This applies to locations with a market similar to our U.S. HQ in the Greater Seattle area. A different range may apply based on your work location. Typical hiring range is $80,000 to $95,000 annually. Job offers within the range are based on relevant job qualifications and pay equity. World Vision employees see our Salary Administration Guidelines and My Life My Benefits pages on our organization intranet known as The Vine.
