Job description

Duties
- Prepare and organize documents for scanning and processing
- Sort and categorize documents based on established guidelines
- Remove staples, paperclips, and other binding materials from documents
- Ensure all pages are in the correct order and facing the right direction
- Perform quality checks to ensure accuracy and completeness of documents
- Maintain confidentiality and handle sensitive information with care
- Follow established procedures and guidelines for document handling and processing

Experience
- Previous clerical or administrative experience preferred
- Proficient in Microsoft Excel and other computer systems
- Familiarity with order entry, databases, and data entry processes
- Ability to type accurately and efficiently
- Strong organizational skills with attention to detail
- Ability to file and transcribe information accurately

Company Overview: Vanersity Tech Inc is a multi-service office. We provide Immigration Document preparation services with a focus on the Spanish speaking community in the State of California. Vanersity Tech Inc complies with the provisions of Business and Professions code section 22443.1(e) to provide this service.

Position Overview: We are currently seeking a skilled, experienced and detail-oriented US Immigration Document Preparer to join our team. As a Document Preparer, you will play a crucial role in assisting our clients with the preparation and submission of various Immigration Documents. Your expertise and attention to detail will ensure compliance with all relevant immigration laws and regulations.

Responsibilities:

  • Document Analysis: Review and interpret client information and documents to determine the appropriate immigration forms, supporting evidence, and additional documentation required for each case.
  • Form Preparation: Prepare accurate and well-organized immigration forms, petitions, applications, and supporting documents according to client-specific requirements and established guidelines.
  • Compliance Adherence: Stay updated on the latest changes in US immigration laws, regulations, and procedural updates to ensure proper compliance and accuracy in document preparation.
  • Data Entry and Recordkeeping: Enter client data and relevant information into the internal database accurately and maintain complete and organized client files while adhering to strict confidentiality guidelines.
  • Client Communication: Coordinate with clients, supervisors, and internal team members to collect and retrieve necessary information, clarify any doubts, and provide assistance throughout the document preparation process.
  • Timely Filings: Monitor submission deadlines and ensure the timely and accurate filing of Immigration Documents with the appropriate government agencies.
  • Quality Control: Perform thorough quality checks on completed document packages to ensure accuracy, completeness, and adherence to all applicable guidelines and regulations.
  • Continual Learning: Stay informed about emerging trends, changes in immigration policies, and procedural updates to enhance your expertise and provide the best possible service to our clients.
  • Referral communication: Monitor upward referrals to immigration attorneys
  • Translations: Be able and willing to translate and interpret from Spanish to English and vice-versa both in writing and real time in person.

Requirements:

  • Education and Experience: Associate’s degree in a relevant field is preferred but we will consider the right candidate with relevant background. Prior experience in Immigration Document preparation or a related role is highly desirable. WILLING TO PROVIDE TRAINING FOR THE RIGHT CANDIDATE
  • Knowledge of US Immigration Laws: Familiarity with various immigration forms, procedures, and regulations, including but not limited to asylum applications, non-immigrant visas, immigrant visas, citizenship applications, DACA applications, TPS applications and adjustment of status.
  • Attention to Detail: Demonstrated ability to maintain a high level of accuracy and attention to detail in handling sensitive and confidential information.
  • Organizational Skills: Strong organizational and time management skills to prioritize tasks, meet deadlines, and handle multiple client cases simultaneously. Knowledge of ticketing systems a plus.
  • Communication Skills: Excellent written and verbal communication skills to facilitate effective client communication and collaboration with internal team members.
  • Technology Proficiency: Competency in using immigration case management software, Microsoft Office Suite, and familiarity with online resources related to Immigration Documentation.
  • Ethical Standards: Uphold ethical standards and maintain strict confidentiality of client information.
  • Team Player: Ability to work collaboratively in a fast-paced, team-oriented environment.
  • Language skills: You must be able to speak Spanish and English fluently
  • Background - You may be required to submit a background check
