Job description

In order to provide for the sacramental and ministerial needs of the Catholic Church, the Archbishop of Boston relies on an increasing number of priests and seminarian candidates from various locations throughout the world to serve in the Archdiocese of Boston. For this reason, we are looking for a coordinator with proven knowledge/understanding of the Catholic Church to support the immigration work of Ministerial Personnel by helping to manage several immigration cases. As a member of the Ministerial Personnel team, this individual will work with our internal staff and external immigration attorneys to support prospective clergy from other countries. This individual contributes to the mission of the Archdiocese of Boston by supporting the work of our priests.

COMMON ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Be a point of contact with clergy and others whom Ministerial Personnel designates as requiring immigration services when needed.
  • Prepare client agreements for signature and obtain necessary checks to pay legal and government immigration fees.
  • Support the immigration work - monitor status expiration, manage the status of all filed cases and petitions, and relay concerns to the appropriate team members(s).
  • Manage various administrative duties; maintain accurate records (physical and digital); attend client contact- phone calls, emails, and postal correspondence.
  • Help attorneys to complete responses to RFE (Request for Evidence), gather and provide documents to outside counselors as needed.
  • Prepare caseload reports for management.
  • Work closely with team members in Ministerial Personnel and liaise with the Archdiocesan General Counsel, Human Resources, and Seminaries as needed.
  • Provide occasional support to individuals requiring immigration status outside the U.S. because of studies or new assignments.
  • Assist with other department activities as needed and perform additional duties and responsibilities as assigned.

QUALIFICATIONS:

  • An associate degree (bachelor’s preferred) in administration or related field
  • 4+ years of professional work experience in administrative positions (experience with immigration is a plus).
  • Excellent interpersonal and communication skills (oral and written). Ability to communicate and interact professionally and effectively at all levels of the organization (management staff and support staff).
  • Knowledge of Catholic teachings and understanding of the priesthood.
  • Willingness to support the mission of the Catholic Church and desire to learn aspects of the Archdiocesan structure.
  • Demonstrated ability to handle confidential, sensitive, timely and critical matters using good judgment, tact, respect, and discretion.
  • Capable of working on multiple matters simultaneously in an organized and efficient manner.
  • Capable of working under minimal supervision, prioritizing cases and other assigned tasks to meet deadlines and goals.
  • Strong computer skills: M.S. Office Suite, presentation applications, spreadsheets, databases, internet research, and scan/copy.
  • Exemplary customer service.
  • Flexibility and ability to respond instantly and positively to shifting demands.
  • Willingness to learn about immigration processes and government practices.
  • Additional languages (Spanish or Portuguese) – a plus.

PHYSICAL PERFORMANCE ELEMENTS:

  • Ability to use a computer keyboard for up to 8 hours/day.
  • Ability to sit for up to 8 hours/day.
  • Ability to lift up to 20 pounds.
  • Some limited travel to sites.
