Renew Office virtual Intake support staff are responsible for scheduling new clients with compassion, professionalism and efficiency while embracing Renew’s vision and core values*.
Areas of responsibility include:
● Schedule new clients utilizing our “24/7” service to clients (getting back to clients who reach out to us within 24 hours, and to the best of your ability getting them a session within 7 days.)
● Facilitating our Client Selection Process through which we match clients to clinicians. ● Complete demographic and insurance data entry and verifying insurance claims.
Tasks include but are not limited to:
●. Check assigned tickets and Call/text/email clients to schedule and match with clinicians.
● Answer incoming calls as appropriate, completing the intake process. ● Initiate the Patient Portal and assist clients to complete all necessary forms and documentation including medical insurance
● Ensure patient information is accurate including billing information
● Schedule new client appointments, code and record properly
● Verify & process insurance
● Complete documentation of all clients contacted and scheduled
● Complete other clerical duties as assigned
● Maintain HIPAA compliance
● Attend required team meetings and training as needed.
● Maintain good communication with the team.
Part-Time 15-20 hrs/week
Following 2-3 weeks of in office training: 15- 20 hours/week. Monday, Tuesday and Wednesday availability needed.
Job Duties: Examples of duties this may include are:
● Assisting in phone screening and initial information gathering for new clients and assisting with scheduling of existing clients.
● Managing incoming calls and emails during coverage periods
Skills/Experience Required:
● Understanding or willingness to learn Electronic Healthcare Records (EHR) and healthcare insurance. Previous experience with EHR and healthcare insurance preferred.
● Must be well organized and detail oriented.
● Computer skills include learning and managing various on-line systems, Microsoft Word, Microsoft Excel, Google docs and sheets, Trello, bookkeeping software, and internet research. ●Ability to establish and maintain effective working relationships with clients, providers, and the public, and maintain flexibility in role.
● Skills in answering the telephone and making calls and interacting with practitioners, community partners, insurance representatives, and clients in a friendly, pleasant, assertive, flexible, and helpful manner.
● Ability to understand and follow oral and written instruction.
● Skills and experience in basic data entry.
● Problem solving and conflict resolution skills.
● High school diploma
Physical Demands: Requires sitting or standing associated with a normal office environment. Regular use of computer desktop or laptop, phones and general office equipment including printers and scanners. Working within an ADA accessible space.
