About the Opportunity
Serves as the chief Clinical Education officer and is responsible for leading the operations of the Clinical Education Unit of the School of Medicine, Professional & Undergraduate Programs. Assists clinical coordinators in the supervision of all aspects of Clinical placement for a growing portfolio of five undergraduate and ten graduate/professional programs. This includes managing all fieldwork, internships and clinical site rotations for over 1,000 students and more than 500 clinical sites. This position is part of the leadership team and as such is critical in strategic planning, decision making, and policy development. Supervises one full-time employee.

What you'll do:
Strategic Planning and Unit Leadership:
  • Engages in long-term planning for the unit. Ensures that goals of the unit are in conjunction with the overall goals of Student Services and that all goals are accomplished.
  • Supervises one employee and ensures this person completes all tasks and duties in a timely and accurate way. Delegates tasks and duties and monitors/reviews work as necessary. Trains and onboards new employees, both direct report and departmental faculty/staff who are affiliated with Clinical Education.
  • Serves as primary point of contact for departments, faculty, and students for all issues and assumes primary responsibility for problem resolution. Provides expert guidance in the area of Clinical Education to stakeholders.
  • Coordinates and implements the incorporation of new policies/processes into the Clinical Education procedures manual as dictated by the University, departments, legal services, and clinical sites. Creates procedures for these policies, provides training and ensures that everything is implemented as necessary and according to timelines.

Clinical Education:
  • Coordinates all graduate and undergraduate clinical placements and acts as a placement liaison in conjunction with the clinical course coordinators.
  • Develops and sustains relationships with clinical preceptors and providers.
  • Maintains clinical site databases and ensures they are up to date for coordinators.
  • Working as a liaison between WVU HSC Legal Services and legal at clinical sites, initiates, negotiates, reviews, executes, and renews affiliation agreement contracts/site agreements with clinical affiliates.
  • Manages student practice site process, coordinating students, preceptors, and instructors.
  • Oversees community outreach for the School of Medicine, Professional & Undergraduate Programs by identifying and maintaining network of placement for students.
  • Communicates with clinical sites to secure number of placements available at each site, types of rotation available, number of supervising clinical faculty, and educational outcomes.
  • Works with departmental Directors of Clinical Education to prepare educational materials for both students and preceptors for community, institutional, and clinical experiences.
  • Works in conjunction with the Institute for Community and Rural Health to track rural rotation placement information and secure student housing in rural areas, when required.

Communication and Advising:
  • Creates and implements a written and verbal communication plan for the Unit.
  • Develops written web page content, student information, clinical site, and other information.
  • Prepares and delivers orientation information regarding the clinical experience for new students both in writing and in person.
  • Provides professional counsel and advice to students on rotation requirements and eligibility.
  • Works with students to promote timely admission into a desired internship or clinical rotation site.
  • Monitors student progress with regard to completion of prerequisite courses and attainment of minimum GPA required for successful matriculation to a respective field placement, internship, or clinical site, when applicable.

Student Compliance Process:
  • Responsible for collaborating with individual programs to determine and implement student compliance requirements and policies. This includes staying informed on advances in vaccinations, drug legalization and other aspects of state legislation, and varying clinical site requirements.
  • Manages student compliance process from communication with students and faculty to maintaining information in a database.
  • Manages and oversees the completion of background checks, drug screen reviews, student vaccinations, titers, OSHA specifications, CPR certification, health insurance, and medical history.
  • Reviews and ensures all student compliance requirements have been satisfied prior to students beginning placement.
  • Manages effective utilization by all clinical partners of any Clinical Education database(s) or tracking tools in use.
  • Manages websites and SOLE information as it pertains to clinical requirements.
  • Prepares reports, collects, and analyzes data (e.g., for accreditation).

Clinical Faculty Liaison:
  • Manages the courtesy faculty appointment process for new and existing faculty and maintains a database.
  • In conjunction with the department's individual needs, plans and implements clinical faculty development/continuing education seminars and conferences.
  • Coordinates and develops the Clinical Education Advisory Committee and meetings.
  • Coordinates annual recognition of Clinical preceptors.

Qualifications
  • Master's degree in related area OR equivalent combination of experience and education.
  • A minimum of one (1) year experience:
    • Higher education experience or other relevant professional experience
    • Project management/planning
    • Customer service experience
    • Supervisory experience
    • Database management and web-based systems experience
  • Excellent oral, written and verbal communication skills.
  • Must be comfortable with public speaking.
  • Must be able to make effective oral presentations.
  • Must work collaboratively with internal and external constituents. Demonstrated customer service skills.
  • Must exhibit professional behavior and demeanor at all times.
  • Demonstrated ability to organize, manage and complete multiple tasks at the same time. This position encompasses several areas of responsibility that all must be organized so that work can be completed timely and accurately.
  • Demonstrated ability to analyze and resolve problems independently. Ability to self-start and prioritize work. Must perform all duties accurately and in a timely manner. Must learn quickly with minimal assistance and be adaptable to change.
  • Demonstrated advanced computer skills with proficiency in database management, Word, Excel, and PowerPoint.
