Salary range - $ 21.00 - $27.00 per hour
Non -Exempt Hourly Position
Minimum of 35.00. hours per week
The Human Resources Specialist will be responsible for supporting, the organization's Human Resources department by performing various Human Resources functions with limited direction related to benefits, payroll, onboarding new hires, tracking leaves and other administrative functions. The Human Resource Specialist will perform in accordance with company policies and follow all state and federal regulations.
Duties and Responsibilities
Human Resources:
- Maintains employee benefits.
- Manage and maintain all personnel files in compliance with all local, state, and federal applicable laws.
- Onboarding of new hires and compiling new hire paperwork and personnel/benefit files
- Ensure all new hires are entered into the Payroll System
- Maintains historical human resource records by designing a filing and retrieval system, keeping past and current records.
- Assist with annual audits including but not limited to payroll, 401(k) and medical.
- Perform other duties as assigned.
Payroll:
- Independently prepare a payroll run in the absence of the Accounting Specialist with Paychex.
- Be able to assist in a payroll run and Human Resources during heavy payroll periods.
Finance:
- Prepare and maintain Accounts Receivable records, including invoicing, monitoring, and email follow up communications with funders.
- Maintain deposit records in SAGE100 and hard copy files.
- Assist with yearend reconciliation of accounts receivable general ledger balances.
Administrative:
- Assist the Executive Director as needed, including arranging travel, managing expenses, and organizing conference registrations.
- Coordinate and provide administrative support for Management Team meetings and staff meetings.
Education Requirements
- Related associate degree and/or significant experience considered.
Previous Experience Requirement
- Five+ years of experience in a professional office setting.
- Experience with IT payroll software platforms.
Knowledge and Skills Needed to Perform Effectively in this Position
- Excellent communication skills, tact, and diplomacy are essential.
- Must be able to maintain a high level of confidentiality.
- Extensive software skills in word processing, spreadsheet, and data entry. Proficient technology skills needed for Microsoft Office/Office 365 (Word, Excel, Outlook), Payroll IT platforms, and others.
- Ability to work independently as well as with others to support the agency’s mission.
- Knowledge of generally accepted office administration/management principles.
- Excellent organizational skills with the ability to prioritize multiple tasks.
Additional Requirements
- Incumbents in this position will be expected to work between 35 and 40 hours per week as job requirements dictate.
- Occasional nights and weekends are required.
- Effective written and oral communications skills; ability to handle multiple priorities and meet deadlines. Must be able to maintain confidentiality.
