Job Description Summary:
Provides support in one or more functional areas in Human Resources (HR) such as benefit servicing, Human Resources information system, employee inquiries and employee relations.
With a focus on outstanding customer service, responds to inquiries from employees and supervisors and resolves problems. Disseminates Human Resources policies, procedures, and information by answering HR Service Center requests, forwarding employee communication materials to staff, and, if applicable, meeting with staff one-on-one. Processes requested personnel actions submitted by units, obtains proper authorizations, and implements approved actions. Prepares reports in conformance with legislative requirements or organization needs.
Job Description:
ESSENTIAL JOB DUTIES:
Provides support in the administration of established human resource policies in employment, employee relations, compensation, benefits, Human Resources information systems, etc. Maintains related records, documents, and updates logs. Prepares reports as required. Serves as a resource to staff on human resource matters. Advises staff on HR policies and procedures. Participates in various HR processes such as new employee orientation, benefit enrollment, performance review and merit, leave, and terminations/separations. Recommends improvements to processes and procedures. Performs duties in one or more of the following areas:
HR Service Center
Email Inbox
  • Address or forward inquiries, and provide same day initial response
Main Phone
  • Primary phone responsibilities w/team support
  • Address straight forward calls
  • Coordinate with team member for most efficient resolution
  • Ensure voice mail messages are addressed.
  • Utilize Workday to resolve employee inquiries.
Employment Verifications and Background investigations
  • Onsite Investigator, and Phone Verifications, Salary and Job History Verifications
New Hires
  • Respond to new hire inquiries, consulting others when necessary
  • Support New Hire onboarding and follow up
Workday
  • Data Updates: Workspace, Phone Extension, Address Updates, Organization Updates, Ad Hoc events (benefits)
  • Reporting: Weekly, Monthly, Quarterly regular reporting
  • Data Audits – pulling screen shots to document personal and compensation information
  • Ad Hoc testing
  • Workday Feature Release Testing
  • Standard Operating Procedures Documentation
HR Team Responsibilities

JOB SPECIFICATIONS
Required Knowledge, Skills, and Abilities: Proficiency in Microsoft Office Suite. Ability to handle sensitive personnel data and maintain complete confidentiality. Good attention to detail. Ability to solve problems of some variety and complexity. Ability to exercise some latitude for independent judgment and action. Experience working in complex environments with a high degree of organizational effectiveness. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Excellent communication skills with a proven ability to effectively interact with all levels of employees.
Minimum Education/Training Requirements: High School Diploma, GED, or equivalent knowledge.
Minimum Experience: Three years of related administrative support experience.
Physical Capabilities: Ability to work at a computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to manager of respective functional area. Supervisor is available to assign and review work.
Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $22.15 - $30.46 per hour. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.
