Position Summary
This recruitment will be used to fill one part-time (a maximum of 20 hours per week) HR Student Assistant position for the Student Employment Center within University Human Resources ( UHR ) at Oregon State University ( OSU ).
The Human Resources Assistant (HR Assistant) will provide critical administrative and technical support to the Human Resources Service Center ( HRSC ) located within University Plaza (UP). This includes the Student Employment Center ( SEC ), HR Support Services ( HRSS ), Employment Services ( CHC ), and Employee Information Services (AskHR).
Position Duties

  • Greet and assist walk-in traffic. Serve as first and main point of contact for HRSC .
  • Assist new student employees with I-9 processing and New Hire Forms (DocuSign, Benny Hire, OnBase).
  • Answer questions and direct as needed to HRSC employees.
  • Answer and monitor the SEC general service phone line.
  • Monitor the SEC general email inbox (Outlook).
  • Assist with drafting student employment job posting requests.
  • Upload employee job forms to document imaging software (OnBase) and route accordingly.
  • Distribute Notice of Appointment letters for current faculty/staff.
  • Sort and distribute HRCS campus mail.
  • Other general office duties as assigned.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services ( USCIS ). A reduced course load is approved by the Office of International Services ( OIS ), and must be provided to the Student Employment Center.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Preferred (Special) Qualifications
  • Previous customer service experience.
  • An interest in the Human Resources field.
  • Familiarity with DocuSign, Microsoft Office/365 (Outlook, Word, Excel), Adobe.
  • A demonstrable commitment to promoting and enhancing diversity.

Working Conditions / Work Schedule
  • Work will be performed in an office environment, during office hours (Monday-Friday, 8am-5pm).
  • The HR Assistant may be required to work between 15-20 hours per week during the academic year and up to 40 hours during the summer term and breaks.
  • Schedule will be based on business need and in-conjunction with another HR Assistant.
