Position Title: Human Resources Operations Coordinator
Department: Human Resources
Reports To: AVP of Human Resources
Classification: Non-Exempt
FTE: 1.0
Salary: $20.35 - $22.40 / hr
Essential Job Duties:
1. Documentation for Standard Operating Procedures and File Management
• Document ‘best practice' procedures for HRIS systems used by the college
• Document SOPs for HR Department workflows; this could include processes within benefits, talent management, talent acquisition, compensation, student employment
• Manage and maintain Human Resources Google Drive
• Oversee ongoing retention of documents in accordance with rules and regulations
• Maintain policies in the online Policy Library
• Partner on Workers' Compensation claims
• Maintain HR metrics and reporting
2. Onboarding and Offboarding Management
• Create, document, and implement the College's onboarding and offboarding procedures; this will include researching and deploying market best practices
• Ownership of the New Employee onboarding processes and procedures including items such as process maps, and curation of onboarding best practices. Partner with Hiring Managers to implement these processes.
• Monitor completion of new staff and faculty employment paperwork in conjunction with the HCM, Oracle
• Work with colleagues in the HR department to audit and maintain compliance in the areas of I-9s and background checks; serve as backup for administrative tasks related to the onboarding and offboarding staff (ex. completion of I-9s and distribution of keys)
• Employee File Management of documents from onboarding and offboarding; maintain state compliance
3. Supervise a team of student workers to provide operational support to the department
• Hire, train, and lead student employees working in HR; approve timecards
• Assign and oversee administrative tasks assigned to student workers
• Ensure the front desk is staffed to greet and assist faculty, staff, students, and visitors; answer and screen office phone calls and handle in-person inquiries
• Oversee HR Alias inbox
4. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
5. Complete and meet deadlines for required training and performance management cycle
6. Perform other duties as assigned
Work Schedule:
Term: Year-Round
Shift: Striving for work-life balance, St. Olaf College's typical work hours are Monday through Friday from 8:30 am - 5:00 pm. Recognizing individual needs, we support flexible scheduling options.
Required Qualifications:
Education: Bachelor's Degree or equivalent work experience
Experience: Experience in documenting procedures and practices, excellent organizational and time management skills, attention to detail, and accurate entry of information into databases
Preferred Qualifications:
Education: Bachelor's degree in Human Resources, Business Management, or a related field
Experience: 3+ years of experience working in a Human Resources environment and/or higher education; advanced technical skills; experience working with Human Resources Information Systems. Direct oversight of employees
Prerequisites:
Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
