COMPANY PROFILE
The Plant Company (TPC) is a newly established business currently operating in its Phase 1 production facility. Phase 1 encompasses a 5-acre greenhouse facility along with a 1.5-acre production barn. This is a state-of-the-art, controlled environment greenhouse for the sustainable production of tropical indoor foliage plants of consistent and exceptional quality.

JOB SUMMARY
The Human Resources and office Assistant will oversee office administration whilst providing friendly and professional HR guidance to the workforce. This position will be seated at the front desk of the main office to greet employees, vendors, candidates, clients, stakeholders, etc. This position will focus on employee relations, policy and procedure adherence, training, and various office management duties. The successful candidate will be highly motivated, well organized, discreet, and have worked in a multi-tasked, fast-paced environment.
DUTIES & RESPONSIBILITIES
- Office Administration
- Complete duties such as handling correspondence, liaising with suppliers, and preparing reports.
- Oversees inventory and purchasing of general office supplies and office equipment/leases.
- Answering and screening incoming front desk calls with personalized greetings for business.
- Receives and distributes office mail. Receives and signs for packages as well.
- Assist with event and meeting planning, including venue and vendor coordination, support logistics for meetings and coordinate travel.
- Handle all company correspondence, documents, and meetings as confidential.
- Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Human Resources
- Trusted liaison between employees and management
- Maintain impeccable recordkeeping, file maintenance, and compliance binders.
- Support the rollout of HR-related initiatives and communications (i.e., open enrollment, incentives, compensation strategy, policy/procedure changes).
- Schedules and organizes appointments for Human Resources; takes minutes during departmental meetings.
- Proofreads and types documents, SOPs, and correspondence produced by the department.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Compliance
- Pre-screening candidates for job opportunities through accurate background checks and adverse actions if/when necessary
- Conducts thorough employment references for qualified candidates.
- Maintains compliance with federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.
- Tracks 30 days, 60 days, 90 days, semi-annual, and annual performance evaluations.
- Knowledge, facilitation, and adherence to Worker Protection Standard (WPS) training.
- Maintain accurate Human Resource Information System (HRIS)
- Maintain an accurate Applicant Tracking System (ATS).
- Performs other related duties as assigned.
REQUIRED SKILLS/ABILITIES:
- Personable, decisive, and assertive as needed.
- Fluency in Spanish preferred.
- TPC utilizes interpretation and translation services if/when needed.
- Excellent organizational skills and attention to detail.
- Ability to operate general office equipment.
- Excellent written and verbal communication skills.
- Conflict resolution, de-escalation, and mediation skills.
- Ability to type 50 words a minute.
- Proficient in Microsoft Office Suite or similar software.
- Ability to maintain confidential information.
EDUCATION AND EXPERIENCE:
- High School Diploma
- Preferred Associate's Degree in Human Resources, Business Administration, or related area required.
- Human Resources or equivalent field experience is required.
- 1-2 years of experience in HR disciplines
PHYSICAL REQUIREMENTS:
Must be able to bend, twist, turn, climb, pull, lift, and carry up to 25 pounds frequently throughout the workday.
