Job description

Job Overview: The Human Resources Information System (HIRS) Specialist plays a crucial role in managing and maintaining the organization's HIRS platform. This role involves ensuring data accuracy, system functionality, and user support. The HIRS Specialist collaborates with HR professionals, IT staff, and other stakeholders to streamline HR processes and optimize the use of the HIRS platform.

Key Responsibilities:

System Administration:

  • Oversee the day-to-day operation and maintenance of the HIRS platform.
  • Ensure data integrity and accuracy within the system.
  • Manage user access and permissions, including adding and removing users as needed.
  • Perform routine data backups and system updates.
  • Troubleshoot and resolve technical issues related to the HIRS platform.

Data Management:

  • Generate reports and analytics to support HR decision-making and compliance requirements.
  • Monitor data quality and resolve any discrepancies or inconsistencies.
  • Ensure data security and compliance with relevant regulations (e.g., GDPR, HIPAA).

User Support and Training:

  • Provide training and support to HR professionals and other users on how to use the HIRS platform effectively and efficiently.
  • Assist with resolving user inquiries and issues related to the system.
  • Develop and maintain user guides and documentation.

Process Improvement:

  • Collaborate with HR teams to identify opportunities for process optimization and automation using the HIRS platform.
  • Recommend and implement system enhancements or customizations to meet HR needs.
  • Stay updated on industry best practices and emerging trends in HR technology.

Compliance and Security:

  • Ensure the HIRS platform complies with data protection and privacy regulations.
  • Implement and enforce security protocols to safeguard sensitive HR data.
  • Conduct regular audits to identify and mitigate potential risks.

Qualifications:

  • Bachelor's degree in Human Resources, Information Systems, or a related field (or equivalent work experience).
  • Strong understanding of HR processes and data management.
  • Proficiency in using HIRS software/systems (e.g., KRONOS, CHR, Matrix).
  • Knowledge of data privacy and security regulations.
  • Excellent problem-solving and analytical skills.
  • Effective communication and interpersonal skills.
  • Detail-oriented and highly organized.
  • Ability to work independently and as part of a team.
  • Certifications in HR technology or data management may be a plus.
