Position Details

ABOUT OUR JOB
As a Human Resource Administrative Assistant, providing both administrative and customer service support is crucial, not only to the City of Rapid City's current and future employees but also public officials and the general public. The nature of work may vary depending on the dynamic needs of the department and will include handling phone calls, emails, and in-person inquiries. The role demands a keen ability to handle confidential information, adapt to changing priorities, and juggle various assignments with flexibility.
Essential Duties and Responsibilities:

  • Provides friendly and professional front-line customer service for incoming phone calls, walk-up traffic, and general e-mail support. Acts to resolve questions and issues in a timely and effective manner, escalating critical issues to the appropriate party.
  • Coordinates efficient daily operation of HR office, including ordering office supplies, front-desk coverage, posting mail, scheduling equipment maintenance and repair, preparing purchase orders, and processing general requests such as travel reimbursements and reserving meeting rooms/facilities.
  • Maintains accurate and timely processing and scanning of employee files into the appropriate system(s) in compliance with current state and federal requirements. Ensures employee information in a variety of formats is updated.
  • Processes general HR requests and correspondence as needed, such as basic verifications of employment, address changes, intranet/internet updates, and pulling requested reports from HRIS, etc.
  • Provides administrative and operational support to the Human Resources team members and assists in various research projects and or/special projects as needed.
  • Coordinates HR-related special events such as blood drives, health/wellness clinics, etc.
  • Maintains utmost confidentiality and uses discretion at all times.
This position is designed to be highly versatile, serving as the backbone of the department's administrative and operational support, ensuring smooth and efficient day-to-day operations.

Qualifications:


  • High school diploma or general education degree (GED)
  • A minimum of 1 year of directly related experience working in a professional administrative support role or any such combination of education and experience deemed acceptable by the department.
  • Proficient Microsoft Office Suite experience.
  • Must have a valid driver's license or the ability to obtain one within 30 days of hire.
