Human Resources Admin
MindCare Solutions is a leading provider of round-the-clock telepsychiatry and in-person behavioral health that provides services to hospitals, emergency departments and a variety of other care settings. We partner with healthcare organizations to deliver best-in-class, end-to-end behavioral health solutions that combine evidence-based care pathways, advanced technology, and high-quality providers.
Compensation: $50,000-$55,000 salaryper year
Schedule: Monday - Friday (8:00am-5:00pm EST)
Duties/Responsibilities:
- Work with Department heads to ensure updated job descriptions are completed and located in all personnel files
- Reimbursement Request Management – receive, track, submit for approval and communicate back to close the loop on any reimbursement request coming into HR – document in budget
- Book travel for team as requested – maintain cost records for budgeting purposes
- Record Keeping – Maintain and update employee records, documentation. Organize and maintain employee files, ensuring compliance and data protection.
- Assist in Monday board data organization, keeping the information updated.
- Meeting scribe – take notes and transfer "todo's" to corresponding Monday Board
- Recruitment support – Manager Job posting schedule. Assist in scheduling candidates.
- Onboarding/Offboarding - Facilitate new hire onboarding, including preparing orientation materials, travel accommodations, background checks, and other pre-orientation tasks, send request to order name tags. Ensure all necessary paperwork is completed.
- Coordinate exit process for departing employees, ensuring proper documentation and return of company property.
- Time and attendance records, including time off requests, generate and maintain attendance reports for payroll processing.
- Assist in organizing employee engagement activities and events.
- Assist in the communication of HR related updates, policies and announcements.
- Handle administrative tasks related to the People Ops department, including managing mail and maintaining office supplies.
- Assist in managing employee satisfaction surveys.
- Prepare People Ops related documents, including employment contracts, offer letters, and termination letters.
- Manage HR ticketing and triage the requests to determine where they need to be directed.
- Manage Anniversary and Birthday announcements company wide.
- Support special HR initiatives as needed.
- Help organize employee recognition programs and events, sending sympathy or celebratory messages/flowers as accordance with company policy.
- Ensure reviews are completed and documentation is attached in employee files
- Manage Collaboration documentation is complete and attached to all applicable records
- Assist in Licensing as requested by VP of People Operations

Qualifications:
- 2-5 years experience working in Human Resources or Recruitment
- Experience with Greenhouse ATS or Monday experience a plus
- Superb organizational and communication skills
- Bachelor's degree in HR or related field a plus
