The administrator ensures that documents received are properly processed to send or upload to Iron Mountain. In this position, physical and digital files are pulled as requested. The administrator works with Compliance by tracking required documentation for personnel files. In this position you will provide reporting and auditing summaries to leadership. The administrator will assist the MyPenskeHR team with administrative tasks as well as case volume.

The administrator works with Compliance by tracking required documentation for personnel files. In this position you will provide reporting and auditing summaries to leadership. The administrator will assist the MyPenskeHR team with administrative tasks as well as case volume.
Major Responsibilities:
- Process new hire, termination, date of hire changes, and other paperwork that is required to be in the personnel file.
- Work with Iron Mountain to retrieve electronic personnel files and send electronic information to be stored in the Digital Records Center.
- Maintain accurate records of personnel files sent to Iron Mountain for Storage
- Work with the compliance department to ensure associate files contain required documentation.
- When files are not listed in the Iron Mountain system, research, then when found ensure Iron Mountains records are updated for accuracy.
- Process term files received from districts.
- Annual check of termed file dates to determine which qualify for purging.
- Reporting and Auditing on HR processes
- Assist the MyPenske HR team with case volume by answering short response questions.
- Catalogue, complete, and update SOPs
- Department email and service request management
- Manage department mail including preparation of communications and tracking numbers.
- Complete retirement kits for associates preparing for retirement
- I-9 User Management for the organization
- Complete additional projects as assigned
- Associate's degree or actively enrolled in a bachelor's degree program required
- Bachelor's Degree preferred
- 2+ years of customer service experience required
- Good verbal and written communication skills
- Above basic to intermediate Excel skills
- Work well independently and on a team
