This position is a part of the centralized HR Services team and is responsible for all HR Administrative tasks for Skanska USA. The primary focus for this role is to enter and maintain accurate and compliant data for employee records across diverse business units, multi-state locations, and employment statuses (craft, salaried, union, temporary, etc.). As HR Services Specialist, you will be responsible for working closely with the HR teams, payroll, project representatives and IT where applicable for HR data administration, compliance and support. To be successful in this position you must demonstrate strong organizational skills, attention to details, customer focus, and independently manage your workload.

 

 

Job Description

What You Will Do:

 

Enter and maintain accuracy and integrity of employee records in Oracle HCM Cloud and JDE systems. Use Oracle HR Help Desk case management system to manage requests. Use iCIMS onboarding portal to obtain new hire documents. Process all new hire data entry, including E-verify and enrollments in JDE. Process all employee changes, such as transfers, leave of absence, promotions, salary changes, terminations, and additional supplemental payments. Prepare HR documents such as assignment letters, salary changes and termination documents. Obtain approvals for compensation changes via DocuSign and electronically file all applicable HR documentation. Ensure all HR processes are completed within the time and quality guidelines with adherence to internal policies and federal/state regulations. Provide guidance on I-9 compliance, HR data and system navigation, internal policies, and basic employment laws. Maintain daily communication with local HR, HR Services team members, payroll, project field representatives, key stakeholders, and third-party vendors. Troubleshoot and assist with identifying HR system and integration issues. Participate in mandatory training to ensure ongoing knowledge development. Assist with HR projects as needed.

Bachelors degree in Human Resources or related field 1+ years of HR related experience Experience with HR systems and HR administration Up to 5% Travel Experienced with Microsoft suite of products (outlook, excel, word) Able to work independently in a virtual setting Must be able to maintain confidentiality of records Strong interpersonal skills and customer focused mindset Excellent organizational skills, with an ability to prioritize tasks Ensure attention to detail Ability to effectively communicate verbally and in written form Basic understanding of labor laws Location: Proximity to US Skanska Office with ability to work remote Standard Hours: Required to work core hours to support coast to coast business needs Employment Status: Full Time Regular
