Are you passionate about working with people?


We are currently on the lookout for an HR People Admin for our Estonia hub. You will be supporting the People Team to deliver an amazing service to our people, acting as a contact for day-to-day HR queries. You will be responsible for supporting the delivery of an outstanding HR service, working closely with the centres of excellence and continually looking to improve processes and the quality of support provided.


What you’ll do:


  • General HR Tasks
    • Providing advice for general employee queries such as policy, annual leave etc, with support from the People Partner when required.
    • Processing of all Invoices.
    • Reference letters for past employees and employment letters for tenancy agreements etc.
    • Involvement in internal/external audits for starters/leavers/movers
    • Maintain the People Team GDPR plan and document retention log.
    • Maintain employee and leaver files in line with the data retention policy and GDPR.
    • Update Payroll with new starter, employee change, and leaver details.
    • Responsible for the administration of employee changes, probation and leaver documentation.
    • Responsible for the administration of wellbeing events, as well as assisting with coordination. Administration tasks for maternity leave, including issuing of letters, updated leave and updating payroll
  • Recruitment Administration
    • During periods of leave or increased workload, assist with the processing all job applications, keeping the recruitment system updated, scheduling interviews for the Recruiter and candidates, at all stages of the process.
    • Responsible for the relocation of new employees and their families, including liaising with B-local for IoM relocations.
    • Onboarding of new employees, responsible for all pre-employment and onboarding administration including any right to work requirements and pre-employment checks.
    • Responsible for welcoming new starters on their first day and conducting the HR induction.
    • Sending new starter and employee updates to the communications team.
    • Administration of licensed psychometric hubs for recruitment purposes.
    • Liaise with managers to assess new starter equipment and access requirements and raise new starter tickets.
    • Managing referral payments
  • Global Talent Administration
    • Responsible for processing workforce planning administration, inputting to HR Management System and running reports when required.
    • Manage the booking of training rooms and room set-up for local training.
    • Manage comms and booking for global virtual training.
    • Manage the non-attendance process.
    • Administer and collate training feedback forms.
    • Maintain and update the annual training budget.
    • Recording training requests, including liaising with global finance teams to process payment for training, raising POs, setting up as Suppliers.
    • Administration of licensed psychometric hubs for training and coaching purposes.
  • Others
    • Ensure maintenance of accurate electronic information and records and ensure the HR system is maintained, and accurate information recorded and update
    • Maintaining TOIL spreadsheet for Estonia office
    • Checking Estonia residence permits are up to date.
    • Adding third party contractors to Bob (HRIS)
    • Onboarding consultants and suppliers including maintaining the relevant tracker spreadsheets.
    • Admin tasks for the Compliance Academy, including tracking/reporting the completion rates, pushing out new courses, sending chasers where applicable, setting up new employees on the platform and assigning relevant courses.
    • Tracking the completion rates for policies and sending chasers which applicable
    • Creating process documents
    • Coordinating the global induction/new starter inductions programme and monitoring attendance

What we'll be looking for

We are looking for a passionate people person with an approachable personality.

Ideally with atleast 1 year of administrative experience.

Someone who is super detailed oriented and well organized
