Job description

The Leave Administrator is responsible for overseeing and administering leave requests and special accommodations, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), worker's compensation, and other related state and local leave laws, the company's short-term or long-term disability plans, and all other leave of absence policies.
Responsibilities include:

  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Handles the FMLA leave administration process from the initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting applicable certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Maintains on-going communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.
  • Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.
  • Oversees the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).
  • Ensures all leave and worker's compensation policies, documents, and procedures are up to date.
  • Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Maintains up to date knowledge of all applicable leave and accommodation laws including the FMLA, ADA, worker's compensation, and other related state and local laws.
  • Maintains leave of absence records for reporting purposes
  • Responsible for updating HRIS system to ensure leave is posted correctly and to pay employees on leave correctly.
  • Is part of the benefits team and will be cross trained on benefits administration

Position Requirements:
  • 3+ years of human resources experience, preferably with a focus on leaves of absence.
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, worker's compensation, and other applicable state and city laws.
  • Strong customer service skills.
  • Excellent written and verbal communication skills.
  • Excellent analytical and problem-solving skills.
  • Excellent organizational skills and high attention to detail

Completion of specialized certification or FMLA/leave administration training a plus.
