THE POSITION
Job Summary
We are seeking a highly organized and dynamic HR Executive Coordinator to provide part-time support to our Vice President - People & Operations. The ideal candidate will be responsible for a range of activities including email management, scheduling, planning, tracking tasks and projects, and facilitating effective communication within the HR department and across the entire firm. This role is crucial in maintaining efficient HR operations and requires a commitment of 5-10 hours per week.
Key Responsibilities include:
- Email and Calendar Management: Efficiently manage the HR department's email correspondence and calendar, ensuring timely responses and scheduling.
- Meeting Coordination and Planning: Organize and coordinate HR meetings, including preparation of agendas, taking minutes, and following up on action items.
- Project and Task Tracking: Assist in tracking progress of various HR projects and tasks, ensuring deadlines are met and objectives are achieved.
- Internal Communication: Facilitate communication between the Vice President – People & Operations and other department members, as well as with other departments within the firm.
- Document Preparation and Management: Prepare, organize, and maintain HR documents and reports, ensuring accuracy and confidentiality.
- Support HR Initiatives: Assist in the implementation of HR initiatives and programs, providing support where necessary.
REQUIRED SKILLS:
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- Ability to handle confidential information with discretion.
- A proactive approach to problem-solving and strong decision-making skills.
- Expert proficiency in MS Office and other office management tools, especially Word, Excel, Outlook, PowerPoint, and SharePoint.
- Proficiency in ADP Workforce Now.
- Proficiency in Monday.com.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree in business administration, human resources, or related field is preferred.
- At least 3 years’ experience required; 5+ years of related experience preferred.
- Proven experience as an executive assistant or similar administrative role, preferably in an HR setting.
