ABOUT THE JOB:
The HR Compliance Manager will play a critical role in ensuring that our organization adheres to all relevant labor laws, regulations, and internal policies. This position requires a keen understanding of HR practices, a strong attention to detail, and excellent communication skills to effectively collaborate with cross-functional teams.
WHAT YOU'LL BE DOING:

  • Compliance Oversight: Monitor and interpret local, state, and federal employment laws and regulations to ensure company-wide compliance in the US and Canada. Collaborate within HR and cross-functionally to communicate requirements and implement necessary changes to HR policies and procedures to reflect legal updates.
  • Policy Development: Collaborate with HR and legal teams to develop, update, and communicate HR policies and procedures that align with industry best practices and legal requirements. Ensure policies are accessible to all employees.
  • Training and Education: Design and conduct regular training programs for HR staff, managers, and employees to promote understanding and awareness of compliance matters, such as anti-discrimination, harassment prevention, co-employment, and other relevant topics.
  • Auditing and Reporting: Conduct regular audits of HR practices, records, and documentation to identify potential compliance gaps. Prepare and present comprehensive reports to management outlining findings and recommended actions. Assist in preparation of periodic compliance reporting such as AAP, EEO, VETS, etc.
  • Investigations: Function as internal SME for internal investigations into employee relations matters, ethical concerns, and compliance issues. Collaborate with legal counsel when necessary to address and resolve complex cases.
  • Data Privacy: Ensure compliance with data privacy regulations (e.g., GDPR, CCPA) by overseeing the collection, storage, and handling of employee data, including implementing data protection measures and obtaining necessary consents.
  • Employee Handbooks: Maintain and update the employee handbook to accurately reflect current policies, legal requirements, and organizational culture.
  • Vendor and Contractor Compliance: Work with procurement, organizational leaders and HR teams to ensure that third-party vendors and contractors comply with applicable labor and employment laws.
  • Record Keeping: Maintain accurate and organized records of compliance-related activities, investigations, trainings, and policy changes.
  • Collaboration: Collaborate with cross-functional teams, including legal, finance, and IT, to ensure alignment on compliance-related matters.

EDUCATION AND QUALIFICATIONS:
  • 5+ years of experience in HR compliance or a related field.
  • Bachelors Degree in HR or related field required
  • Thorough understanding of labor laws, regulations, and industry best practices.
  • Professional HR certification (e.g., SHRM-SCP, SPHR) preferred.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills and comfort presenting to audiences at different levels of the organization.
  • Demonstrated ability to manage sensitive and confidential information.
  • Strong interpersonal skills and the ability to work collaboratively across all levels of the organization.
  • Experience conducting investigations and managing conflict resolution.
  • Proficiency in HR software and systems for record keeping and reporting.
  • WSMM uses SAP SuccessFactors, Workforce Time and Attendance and Navex EthicsPoint
  • Strong use of technology as an enabler.
  • Proficiency in Word, Excel, PPT, Teams, Zoom, SmartSheets, etc.
  • Detail-oriented with a high level of accuracy in data management
  • Ability to draft reports and manipulate data in Excel.
  • The ability to travel occasionally to facilitate training, investigations, etc.
