HR ADMINISTRATIVE ASSISTANT
JOB SUMMARY:
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
DUTIES/RESPONSIBILITIES:
· Must perform all duties and activities in a manner that is aligned with our company values: Integrity, Humility, Innovation, Open to Change, Collaboration, Excellence and Customer Focus.
· Highly skilled user of Microsoft Office 365 including, but not limited to; Word, Excel, Power Point, Share Point, and serves as subject matter expert for documentation system management, presentations, teams-collaboration, etc.
· Recruits, interviews and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
· Implements new hire orientation and employee recognition programs.
· Will provide backup for payroll.
· Administration of training records and use of learning management systems.
· Welcomes and directs visitors and clients.
· Schedules and organizes appointments; takes notes during departmental meetings.
· Maintains electronic (and paper) filing systems as assigned.
· Will assist EHS department with file management, program retention.
· Coordinates all in-coming/outgoing mail including certified/registered mail.
· Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed.
· Prepares agendas and schedules for meetings.
· Maintains office supplies including ordering.
· Performs other related duties as assigned.
REQUIRED SKILLS/ABILITIES:
· HR / EHS knowledge is preferred.
· Excellent verbal and written communication skills.
· Excellent interpersonal and customer service skills.
· High Proficiency in Microsoft Office Suite and related software.
· Excellent organizational skills and attention to detail.
· Creative and proficient with developing basic marketing materials (print/social media)
· Ability to work independently.
EDUCATION AND EXPERIENCE:
· High School Diploma: Associates degree or higher in Business Administration is preferred.
· Three to five years of experience in an administrative role, preferably supporting Environmental, Health & Safety and Human Resources.
PHYSICAL REQUIREMENTS:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 40 pounds at times.
