SCHEDULE: 25 hours, Monday - Friday, 8:00 a.m. - 1:00 p.m., this schedule requires flexibility due to program needs; early mornings
Pays $22 .00 per hour DOE
LOCATION: Must have the ability to travel to various locations as needed, ie-444 Harrison Avenue, Boston, 363 Albany St, Boston, 1 Lingard St, Boston
JOB DESCRIPTION:
The Housing Placement Mail Clerk (HPMC) will work in conjunction with the Housing Placement Teams, Shelter Operations, and the Facilities Hub. The HPMC will individually be responsible for securing all housing mail (HM) and vital documents (VD) as well as tracking and reporting efforts. The HPMC will work within a Housing First framework. The HPMC will use Excel, Outlook, Clarity, and Windows into the Warehouse systems to ensure coordination. The HPMC will distribute HM and VD to appropriate programs and departments efficiently and accurately.
The Mail Clerk will work from the following principles:• Shelter is a temporary safety net, not a home. • All people experiencing homelessness, regardless of their housing history and duration of homelessness, can achieve housing stability in permanent housing.• Never warehouse or institutionalize our guests in our shelters.• Everyone is "housing ready." Sobriety, compliance in treatment, or even a clean criminal history is not necessary to succeed in housing. Rather, homelessness programs and housing providers must be "consumer ready".• Recognize the impact of violence and victimization on development and coping strategies
REQUIREMENTS:
EDUCATION/TRAINING:
REQUIRED:
  • High school diploma or GED.
  • Valid Massachusetts Driver's License
  • Proficiency with manually sorting mail
  • Basic computer proficiency.
  • Outstanding organizational skills.
  • Diligence and attention to detail.
  • Exceptional interpersonal skills.
  • Excellent written and verbal communication.

PREFERRED:
  • Previous mailroom operations or similar administrative roles is a plus.
  • Bilingual - Spanish/English

KNOWLEDGE/EXPERIENCE:
REQUIRED/PREFERRED:
  • Two (2) or more years' experience working in mailroom
  • Strong computer and math skills - including familiarity with MS Word, Excel and the ability to learn and successfully use MIS & HMIS programs

PHYSICAL ABILITIES/SKILLS:
REQUIRED:
  • Ability to stand for moderate periods of time, stretch, bend, up and down stairs.
  • Ability to lift and carry packages of varying weights.
  • Ability to operate a PSI vehicle
  • Ability to respond safely and quickly in case of emergency situations
  • Ability to sit for moderate periods of time at a desk in an office while interacting with clients and/or managing documentation and completing data entry

  • Excellent writing, documentation, math and computer skills

  • Ability to perform an array of difficult tasks at the same time
  • Experience maintaining consistent communication channels, both verbal and written, between several parties

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
  • Manually sorting incoming Housing Mail and Vital Documents by department and category.
  • Forwarding misdirected mail
  • Preparing outgoing mail as set by program policies
  • Keeping an inventory of mailing supplies, such as envelopes and stamps.
  • Signing off on certified mail.
  • Keeping detailed records of all incoming housing mail.
  • Logging incoming mail in agency systems.
  • Delivering mail to internal/external departments and individuals, ensuring the relevant parties sign off on them.
  • Provide courteous and professional customer service to internal and external stakeholders
  • Address inquiries related to mail and packages in a timely manner.
  • Performs other duties as assigned by the Supervisor
  • Monitor and track data quality as appropriate
