Year round position, extra duty stipend.
Culver School District is seeking a High School Athletic Secretary. This would be an ideal position for a flexible candidate with excellent communication skills and enthusiasm for working with High School age students, grades 9-12. Previous Athletics experience desireable.
The High School Athletic Secretary is responsible for providing outstanding leadership and communication in the development, organization, implementation, coordination, and evaluation of the district's athletic programs. The Athletic Secretary must work collaboratively with building and department administration, students, parents, staff, coaches, volunteers, peers and community members to promote athletic programs that foster academic excellence, leadership, character, skill development, sportsmanship, and an understanding of the sport. Inherent in the position are the responsibilities for planning, organizing, athletic schedule development and maintenance, program evaluation, and personnel and financial management of the High School athletic program. This work requires working non-standard hours to attend games and set up and take down events. The High School Athletic Secretary works under the supervision of the High School Athletic Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
  1. Management of Athletics Records: physicals, rosters, emergency contact information, permission to treat, clearance, etc. Ensures that proper form(s) are obtained and current for participants.
  2. Processes purchase requisitions.
  3. Books all travel and accomodations for all High School Athletics.
  4. Manages consussion and injury status, doctor's releases, concussion/injury protocols for all students, manages and enforces process for all High School Athletics.
  5. Mileage reimbursement submissions.
  6. Absence request/Leave request documents.
  7. Athletic event supervision.
  8. Travel with, or chaperone teams as needed to away events.
  9. Coordination of home athletic events: recruit and schedule staffing of events (pay per event and volunteers).
  10. Manage Pay per Event payroll collection and submisisons.
  11. Attend meetings and take notes as needed.
  12. Assist in screening and interviewing applicants for coach and volunteer positions.
  13. Monitors and records hours of all High School Athletics Volutneers for Business Office Work Comp reporting.
  14. Records Retention.
  15. Works closely with High School Administrative Assistant on a multitude of tasks, communication and coordination.
  16. Field a variety of needs and questions from staff, students and the community.
  17. Reconcile Athletic Department purchasing card statements.
  18. Manage cash box and deposits. Arrange game gate attendants; manage and deposit gate money with business office.
  19. Assits with pre-registering students.
  20. Maintains necessary records and completes required paperwork in a specified time and manner.
  21. Maintains a safe environment for students at all times.
  22. Interacts thoughtfully and courteously with students, staff and parents and resolves conflict in a professional manner.
  23. Appropriately maintains and secures confidential records and inquiries.
  24. Professionally represents the school and the District in interactions with parents, community, staff and students.
  25. Follows and maintains knowledge of all District policy(ies) and procedures.

QUALIFICATIONS
  • Ability to plan, organize, and assist in running a comprehensive secondary athletic program aimed at ensuring students have a competitive and healthy athletic experience.
  • Commitment to equity in athletic opportunities for students.
  • Excellent communication skills: ability to communicate in a positive manner and get along with others in a high stress environment.
  • Interpersonal Skills: Works well with others from diverse backgrounds. Focuses on solving conflict; remaining open to others' ideas and contributing to building a positive team spirit. Demonstrated ability to successfully work with and lead or motivate students, parents and CSD team members.
  • Language Skills: Ability to communicate fluently, verbally, and in writing, in English. Ability to effectively present information and respond effectively to questions in one-on-one, small group situations to students, parents and other school staff. Ability to verbally respond to common inquiries from students, parents, coaches and staff. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals and governmental regulations. Ability to write routine reports and correspondence.
  • Mathematical Skills: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Reasoning Ability: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of instructions in varying forms and deal with several abstract and concrete variables. Ability to problem solve and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Computer Skills: General knowledge of computer usage and ability to use, e-mail, internet software and word processing software. Ability to proficiently use the following programs strongly preferred: MS Word, Excel, Gmail. Ability to type accurately and proficiently.
  • This work requires working non-standard hours to attend games and set up and take down.
  • Certificates, Licenses, Registrations: Certificates as determined by the District. Ability to obtain a valid CPR/First Aid card, Oregon Driver License, OSAA certifications.
  • Knowledge of emergency care of injuries.

Approximate Salary: $16,872 -$22,996 (12 month stipend - Extra Duty Coach Column A x 4 "seasons")
