SUMMARY
This position reports directly to the Director of Health Services and provides support for the programs within this department. This position is responsible for assisting with budgets, grants, and special projects.
PRINCIPAL ACTIVITIES & RESPONSIBILITIES
- Assist the Director of Health to plan and implement program activities in Coos Bay, Florence, and Eugene, including educational presentations, and tables/booths at Tribal/Community events.
- Manage the Fitness and Nike Shoe Benefit for Tribal Membership.
- Co-administer the Elders' Activities Program.
- Provide administrative support for the Health Department's projects.
- Prepare articles and other materials for submission to the monthly Tribal newsletter related to the activities and subject matter content for both the Health and the Social Services Departments.
- Assist the program coordinators in the collection of data and preparation of reports to measure the program against program goals and objectives and to meet grant requirements.
- Requests & processes purchase orders and check requests.
- Assist the Director of Health with timecards and time and effort report approval.
- Arrange travel, accommodations, itineraries and all correspondence related to arrangements as needed.
- Assist Director of Health with drafting the annual department budget.
- Create drafts for department reports and presentations as needed for grant reporting and Council meeting.
- Assist Director of Health Services with research for obtaining funds from appropriate sources to support program activities as needed.
- Assist the Director of Health Services with grant-related reporting, research, and data collection in addition, to compiling monthly budget binders for Directors.
- Monitor and report financial performance of grants to Director of Health Services on a periodic basis and to granting agencies as required in grant agreements.
- Maintain comprehensive files on grants, grant contracts, and grant contract performance as requested.
- As directed, may be required to attend meetings and training within the scope of practice and program goals for this position.
- Manage program and client records according to Tribal policy and in compliance with grant funding requirements.
- Maintain appearance standards as outlined in CTCLUSI policies.
- Must be able to interact with Tribal members and the general public in a courteous, professional, and efficient manner.
- Communicate effectively both orally and in writing.
- Must possess reasonable ability to communicate in English.
- Maintain a good attendance record with reliable transportation to work site.
- Other duties as directed by management.

- Moderate noise level with frequent interruptions and distractions.
PHYSICAL & MENTAL DEMANDS
- Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.
- Vision abilities required by this job include close vision and the ability to adjust focus.
- Must be required to push, pull, lift, and/or carry up to 40 pounds.
PREFERRED QUALIFICATIONS
- An Associate's Degree in Health & Human Services, Social Services, Behavioral Health, Business or a related field(s) OR 2 years of experience working in a related field.
- One year or more of experience with monitoring budget, grant management and supporting reports.
- Experience in organizing and planning to include scheduling, notifying attendees, setting up meeting space and handling of refreshments.
MINIMUM JOB REQUIREMENTS
- Must be at least 25 years of age.
- High School Diploma or GED required.
- 1-2 years of experience with direct administrative support at the executive support level.
- 1 year or more of experience with direct support and knowledge of grant management.
- Excellent time-management capabilities and good written and oral communication skills.
- Must be reliable, courteous, and possess the ability to work well with tribal members and others of all ages.
- Proficient in MS office with expertise in Microsoft Word, Excel, Outlook, Publisher and Power Point.
- A computer test will be required.
- Occasional evening and weekend work for meetings and events.
- Must have a valid driver's license and be able to be insured to drive Tribal Government vehicles.
- This is a covered position and will be subject to pre-employment drug testing and criminal history background check which will include fingerprinting.
- Must have employment eligibility in the U.S.
- Indian preference will be observed in the hiring process.
