Background
Aristides Capital LLC, founded in 2008, is an SEC-registered investment adviser with an office in Louisville, KY. We manage two equity-focused multistrategy long-short hedge funds with approximately $250 million in assets under management and a history of risk-adjusted returns among the best in our industry. We have eight full-time employees and are seeking an employee for full-time work on administrative investment operations and client relations.
Location
We are looking for a full-time Head of Operations to start working immediately in person in Louisville with the option for a hybrid in-office / work-from-home schedule (with at least 3 part-days a week in office).
Responsibilities
Back-office operations responsibilities:
- Maintain all paperwork and records required by regulatory agencies (e.g. SEC, NFA)
- Perform daily trade reconciliation and trade support/communication with multiple prime brokers and executing brokers
- Coordinate cash & asset transfers between custodians and maintain associated account records
- Initiate wire transfers and bill payments
- Enter and manipulate data in Excel & web portal for reporting and performance tracking
- Correspond with fund administrator and auditor for trade & transaction documentation and month-end accounting close process
- Manage paperwork associated with opening new DVP or other accounts
- Update periodic regulatory and compliance filing documents
- Vote shareholder proxies
- Facilitate correspondence for annual financial audit
- Enter and track stock borrow requests and monitor borrow cost positioning across various brokerage portals and accounts
- Assist in the development, monitoring, and documentation of internal compliance and operations procedures (e.g. creating an internal wiki)
- Assist with periodic ownership and regulatory filings
- Oversee insurance coverage
- Coordinate with administrator and third-party administrator to maintain pension plans
Client relations responsibilities:
- Be a kind, friendly, responsive primary point of contact for inbound investor queries
- Facilitate new investor account opening and other various investor requests relating to capital account transactions
- Distribute monthly letter and fact sheet to investors
- Provide confirmation of receipts of wires/investments, and obtain confirmation of withdrawals
- Update & improve investor marketing materials
- Attend prospective investor meetings to be available for data requests
Qualifications
- Undergraduate degree with a history of high academic achievement
- Experience in back-office/middle-office operations in the finance industry, ideally at a Registered Investment Adviser
- Understanding of basic concepts of equities
- Highly detail-oriented and organized
- Enthusiastic about helping/supporting others
- Advanced proficiency in Microsoft Excel
- High level of motivation and willingness to work in a time-sensitive environment (work hours are not excessive, but due to the nature of the business, there will be times when typically small, quick-turnaround tasks are needed on an occasional evening or weekend)
Enhanced Qualifications
- Prior experience onboarding accounts to
- Prior experience with alternative asset managers
- Understanding of complex corporate actions and derivative securities
- Familiarity with basic SQL database querying and data entry
- Experience in a customer service or client-facing role

- Improve internal monitoring and reporting systems
- Facilitate business expansion (i.e. we are considering offering services as a full-service RIA to certain institutions, such as charitable foundations)
- Improve in-house capacity for capital introduction
Compensation
- Base salary of $100k to $150k based on qualifications, enhanced qualifications, education, and experience
- Benefits including paid vacation, paid health insurance, 401(k) with company contributions
