About the Role

The Grants and Budgets Manager role at PAI is ideal for a critical thinker with an analytical mind who is interested in applying their skills for the benefit of PAI’s mission. This key position in PAI’s Policy and Advocacy department is the ideal opportunity for a goal-oriented self-starter with a high attention to detail and focus on achieving results. This position holds full responsibility for programmatic budget development and the management of multimillion dollar Grants and Budgets. They will also be responsible for assessing and defining reporting requirements and schedules for individual grants. Additionally, the Grants and Budgets Manager is expected to provide leadership in the areas of systems improvement and taking initiative to implement new processes to support PAI’s growth. As the key manager and facilitator of PAI’s programmatic and operational grant management systems, the Grants and Budgets Manager is responsible for developing and managing many critical cross-cutting processes within PAI, including working with finance, operations, programmatic and fundraising staff to provide important management oversight and insights into our revenue situation, budgetary needs and progress and programmatic financial management.

Essential Duties and Responsibilities

• Develop, implement, and manage processes to manage PAI’s gifts and grants, including financial, reporting and stewardship components.
• Act as a liaison between programs, fundraising and financial teams and systems to ensure continuity, accuracy and adherence to key processes.
• Drive and oversee reporting requirements to our donors, strategically preparing financial packages to meet our constituency’s needs.
• Present financial analysis in a timely and insightful manner to senior and executive leadership teams.
• Improve and manage the annual budget process (both revenue and costs), including the development of the Policy and Advocacy department’s annual budget manual and templates, reconciliation with programmatic and organizational goals, regular communication with program and department directors and maintenance of the budget system throughout the year, including forecasts and revised budgets.
• Lead the process of developing departmental work plans which are fully integrated with the organizational budget.
• Work closely with the Vice President of Global Programs and Advocacy as staff lead on communicating and coordinating a variety of balanced scorecard activities throughout the organization.
• Make recommendations to management and executive staff on detailed analysis of budget-to-actuals on a regular basis.
• Manage the organizational calendar of multiple deadlines, set priorities, adapt to change, and recommend improvements and enhancements to annual budget process.
• Facilitate and support PAI’s contracts negotiation and sign off with PAI’s programmatic partners around the globe.
• Act as liaison with partners with respect to contracts management and negotiation with programmatic partners.

Education and Experience Requirements

• Bachelor’s degree in economics, accounting, finance, math, or related field; MBA, MPA or certification (CFA or CMA) a plus
• Advanced skill in mathematics, statistics and/or econometrics
• Minimum of five (5) years of grant management and accounting experience, with nonprofit experience a plus
• Experience working with and managing the oversight of multimillion dollar foundation grants
• Advanced proficiency in Excel and experience with various types of accounting and customer relationship management software
• Essential interpersonal skills: tact, patience, diplomacy, confidentiality, integrity
• Demonstrated experience in problem solving and ability to find creative solutions
• Proven ability to prioritize projects and initiate follow through with meticulous attention to detail and a high level of accuracy
• Demonstrated ability to work effectively under pressure and handle multiple simultaneous tasks and demands
• Solid analytical capabilities and excellent data presentation skills
• Experience leading teams on target and on time

Salary Range:

Annual salary range $80,000 - $90,000, depending on experience.

Candidates must be authorized to work in the United States and will be subject to a background check.

Please note, currently PAI is on a hybrid work schedule, three days a week are required in the office with two days working from home.
