SUMMARY
Reporting to the Director of Procurement, the Fuel Invoices Clerk will be responsible for supporting the Fuel Administrator and the Procurement department in participating in the operational/transactional activities regarding Jet fuel processes and reviewing purchases, including fuel records, invoices, audits, and reports as needed.
The ideal candidate shall have basic finance knowledge and or background, mainly related to the invoicing and auditing process, along with advanced computer skills.
The role is instrumental in ensuring Fuel Invoices are audited and processed with the highest levels of accuracy, and the purchase orders are issued following the defined processes and guidelines
The Fuel Invoices Clerk position is based at Amerijet’s corporate headquarters in Miami, Florida. The candidate must possess the right to work in the United States.
ESSENTIAL DUTIES AND RESPONSIBILITES
- Audit all Fuel Invoices to ensure all commercial conditions, volumes, prices, and amounts are correct.
- Review Fuel Invoices against internal flight data (AIMS).
- Identify discrepancies and perform detailed analysis with Flight Operations team and Fuel Administrator to rectify errors in fuel tickets.
- Maintain and update SOPs related to the fuel audit and accrual process, and purchase orders.
- Update and maintain weekly/monthly fuel prices for all fuel vendors by location.
- Work with Fuel Administrator in checking payments to fuel vendors.
- Submit audited Fuel Invoices in the ERP system as per the established SOP.
- Assist in the preparation of the month-end fuel accrual closing report as per the closing calendar.
- Collaborate with Fuel Administrator to meet daily/weekly/monthly deadlines.
- Assist on any other duties as assigned.
QUALIFICATIONS:
EDUCATION and/or CERTIFICATION:
- This position requires a high school diploma and/or equivalent.
REQUIRED KNOWLEDGE/EXPERIENCE:
- At least two (2) years of experience in Accounts Payable or similar position, auditing and posting invoices.
- Basic knowledge in Finance, mainly related to invoicing, audit, cost allocation, GL basic principles, and invoice posting.
SKILLS and/or ABILITIES:
- MS Excel skills, and basic knowledge of MS Word / PowerPoint and database interfaces. ERP system (MSD365 is a plus).
- Strong analytical skills and attention to details.
- The ability to speak and communicate professionally with internal and external contacts.
- Possesses professional written communication skills for the purpose of easily and succinctly expressing results and findings.
- Possesses the ability to plan, coordinate, and implement tasks involving new or constantly changing problems or situations. This involves the origination of new policies and procedures for projects.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
